Job overview

We are seeking a motivated and reliable Pharmacy Ward Services Assistant to join our dynamic Ward Services team within the Pharmacy Department at Frimley Park Hospital.

This role is ideal for someone with strong communication skills, a customer-focused mindset, and a methodical approach to work. 

You should be able to work independently as well as collaboratively within a busy team environment.

As we expand our team and enhance the clinical services we provide, you will play a key role in supporting safe and efficient medicines management on the wards.

The successful candidate will be committed to professional development and must be willing to undertake a Level 2 Stock Management qualification in Pharmacy Services.

Main duties of the job

  • The post holder will support the Ward Services Manager in delivering a prompt, accurate, and efficient pharmaceutical stock supply to all ward and clinic areas.
  •  A key part of the role involves regularly visiting wards to check, top up, and maintain medicine stocks, ensuring that all items are in date, stored safely, and available when needed for patient care.
  • You will be responsible for identifying stock requirements, replenishing supplies, and liaising with clinical areas to ensure smooth service delivery.
  • Additional duties include receiving, unpacking, and correctly storing incoming pharmaceutical stock in accordance with departmental procedures.
  • You will also assist in assembling stock orders—picking, checking, and preparing items for timely delivery to wards and external clinics.
  •  Accuracy, good organisational skills, and attention to detail are essential to maintaining safe and effective medicines management across the Trust.

Detailed job description and main responsibilities

  • Support the distribution of stock medicines and vaccines to wards, departments, community clinics and GP surgeries, ensuring supplies are in-date, appropriate and minimising wastage.
  • Carry out ward top-ups, review stock profiles and liaise with ward staff. Maintain the safe custody of Ward Services stock and keep accurate records.
  •  Respond to routine enquiries from callers and visitors, handle incoming and outgoing telephone calls, and complete clerical tasks related to orders and documentation.
  • Deliver small quantities of medicines to wards as required. Order, receive, check and store pharmaceutical products, ensuring correct stock rotation.
  • Participate in internal checking programmes for bulk issues and ward stock orders. Monitor storage conditions and maintain associated records.
  • Input and retrieve data accurately using the pharmacy computer system and assist with verifying stock levels.
  • Support new staff by demonstrating assistant duties and work in line with standard operating procedures. Contribute to training and complete the Level 2 Stock Management qualification.

QUALIFICATIONS

Essential criteria
  • Educated to GCSE or equivalent, to include English and Mathematics
  • Level 2 Support Staff Course for Pharmacy Stock Management or willingness to undertake in 1st year of employment
