Job overview

We have an opportunity for an experienced administrator in our Children and Young People's (CYPS) Crisis Pathway.

Our CYPS Crisis Pathway supports young people across Surrey who are experiencing mental health crisis and require intensive support.

In this role you would ensure the smooth running of the CYPS crisis pathway by providing a comprehensive, efficient and high quality secretarial and administrative service to the organisation it serves. 

Main duties of the job

  •  Responsible for providing confidential administrative support to the team, including the organisation of meetings/events and admin recruitment processes.
  • Deal with the day-to-day demands in the Department and aim to resolve any problems, whilst using own initiative to ensure that urgent matters are dealt with proactively.  
  • Co-ordinate team rotas (i.e. Record Keeping Audits etc.).  
    Prepare documents for meetings and distribute them beforehand.
  • Update and maintain the Referral Log and Referral Tracker through liaison with the admin team.  
  • Manage the booking of interpreters, ensuring an accurate record is maintained.  
  • Compile and distribute agendas and meeting invitations (Teams) for local meetings – such as regular Clinical MDT and Business meetings. along with booking any guest 
    speakers.  
  • Clinic Management – responsible for overseeing provision of leaflets, ordering of supplies via SBS, staff lists (contacts, working hours, equipment log), in-boxes, uploading, etc.).
  • Put in place minute taking for meetings with responsibility for planning and coordinating the drafting of agendas, preparation and distribution of papers, taking and transcribing of comprehensive and accurate minutes and ensuring that all relevant actions arising from meetings are dealt with as appropriate.
  • Cover meetings for other team members if necessary

Experience

  • Significant experience working with Microsoft Office including Word, Excel and PowerPoint

  • NVQ Level 3 or equivalent or equivalent experience
