This post is supporting the Parapet Breast Unit based at King Edward VII Hospital, Windsor.  To provide a comprehensive administrative service and provide line management as Team Leader for the Outpatient Booking team and Clinical Admin team.

The hours of the role are Monday - Wednesday 08:00 - 16:00.

Main duties of the job

Purpose of Job

  • The post holder will work as the Team Leader for the Outpatient Appointment and Clinical Admin team and be responsible for providing excellent customer service and contributing proactive information to support the outpatient team.
  • The post holder will be responsible for attending the weekly Breast MDT meeting on a Tuesday morning, documenting all appointments that need to be actioned.
  • The post holder will assist with the day to day running of the administration teams, supporting the Deputy Service Manager.
  • The post holder will work closely with all clinical areas to support the Trust’s targets, i.e. referral to treatment and cancer targets.
  • The post holder will be involved in transforming current work practices to meet all Trust requirements.
  • The post holder will be responsible for the day to day management of staff which includes; induction, appraising and initial performance management.
  • To provide clinical administrative support to the Consultants and their junior medical staff, ensuring that Trust standards are adhered to in relation to all documentation and data input concerning patients and treatment.

  • To provide an administrative service to the Department.
  • Attending the Breast Cancer MDT meeting weekly.
  • To operate the various IT systems used to fulfil the role/department requirements, ensuring Epic is managed for all clinics and lists.
  • To plan and organise own work schedule.
  • Provide cover for other staff within the team who are on leave or out of the office.
  • The post holder will assist with the day to day running of the outpatient team, supporting the Deputy Service Manager of the unit. 
  • The post holder will work closely with all clinical areas to support the Trust’s targets.

Person specification

Qualifications

Essential criteria
  • Educated to GCSE level or equivalent
  • BTEC or equivalent level of knowledge of a range of trust policies and management procedures, requiring on-going onthe-job training and experience
Desirable criteria
  • Demonstrable evidence of previous office / information management

Competencies for the role

  • Able to work under pressure, prioritise, and organise
  • Able to work as part of a team
Desirable criteria
  • A track record of successful staff management/supervision

Specialist experience

Essential criteria
  • Experience of working as an Administrator/secretary at a senior level
  • Experience of dealing with the general public
