Job overview

An exciting opportunity has arisen within the Cardiothoracic Directorate for a permanent position as an Administration Lead (Inherited Cardiac Conditions).

We are seeking an experienced administrator to join the ICC Specialist Team.  You should be self-motivated, reliable, well organized with excellent communication and interpersonal skills.  You should be able to demonstrate administration experience with appropriate qualifications, be able to work efficiently and methodically, with good attention to details without direct supervision.  The post holder should be flexible to the needs of the service with a positive and proactive attitude. 

This role is crucial to providing and maintaining an efficient service for patients and their families.  We are looking for someone who likes to collaborate with others as well as across our organisation.

Main duties of the job

Post holder will be required to provide an efficient administrative service to the nurse specialist and their teams delivering a high standard of care. The role will directly impact patient experience and be part of providing seamless delivery of care. 

The successful candidate should be able to demonstrate excellent communication skills, flexibility, reliability and must have an organised approach to work.  The ability to work independently and follow the policies and procedures for the Directorate is essential.  This is a varied role with ad-hoc demands and the post holder must possess excellent time management, organisational and planning skills. 
 
The post holder will be expected to manage appointments and queries, answer and return calls to patients, GP surgeries, nurse specialists, consultants and coroners and the wider team.  Attention to detail is vital as the post-holder will book test for patients undergoing investigations, complete proformas and ensuring that patients have follow up plans in place.  

You should be able to show empathy and respect to service users as the post holder will coach patients and carers on how to make contact.   

Good verbal and written communication skills and being able to speak appropriately within personal/sensitive situations, such as sudden unexpected death of family members, is extremely important.  

Observational skills, prioritising your own work, accuracy and keeping to deadlines are also key skills that we are looking for.

Detailed job description and main responsibilities

  • To deliver effective, accurate and timely management of the department’s administrative needs
  • To provide administrative support to other tiers of medical/nursing staff within the department, where appropriate
  • To take minutes at departmental meetings e.g., clinical governance and consultant meetings
  • To provide wider Directorate administrative support as and when required to cross cover leave/sickness
  • To provide administrative support to the Inherited Cardiac Conditions team based at the Freeman Hospital
  • To support the team in gathering and displaying data about the service for business purposes in service planning and staff wellbeing
  • To continually seek out and make recommendations for service improvement in own area
  • To support the team in assisting with collation, and numerical and graphical presentation of information for business purposes in service planning
  • To collect, input and analyse data on a regular basis

Qualifications & Education

Essential criteria
  • Good standard of English, at GCSE or equivalent level
  • NVQ level IV or equivalent experience

Knowledge & Experience

Essential criteria
  • Excellent knowledge and competencies within Microsoft office software
  • Previous working experience with databases, (e.g., eRecord) and other PAS systems
Desirable criteria
  • Experience of minute taking and/or writing information in a written format for purposes of audit and record keeping
  • Relevant experience of working within an administrative role
  • Previous working experience in developing and working with databases

Skills & Abilities

Essential criteria
  • Excellent communication skills – both written and oral
