Job overview

We have an exciting opportunity available for a Ward Clerk to join our Team here at UHCW.

The post holder will be joining our Performance & Informatics (P&I) department who are well respected and the largest of our corporate services. The P&I portfolio encompasses Business Intelligence & 
Informatics, Information Systems Development, Clinical Coding, Data Quality and Patient Access. P&I work cross functionally to support the Trusts operational delivery of both national and internal targets which ensures the highest standards of patient care are delivered. A robust Performance Management Framework is embedded across UHCW that tracks and evaluates progress and supports both operational and clinical governance frameworks. New opportunities at a national 
level are being developed by P&I in areas of health inequality, waiting list management and system working. 

As a Ward Clerk you will be expected to:

Act as the first point of contact for dealing with routine enquiries and take action as necessary liaising with others as appropriate. This includes reception cover duties during working hours.

Communicate with staff, patients and/or external organisations using appropriate methods.

Main duties of the job

Maintain both manual and electronic filing systems and databases, as required by the department and Trust policies, ensuring all documents are accurately and appropriately archived.

Maintain an efficient and comprehensive administrative service, including photocopying, providing support to the departments and other team members as requested.

Utilise relevant Trust EPR systems, as determined by the role, ensure all relevant patient data is collected and input accurately in line with Trust guidelines.

Detailed job description and main responsibilities

  • Collate, input and monitor department documentation and information to assist with the production of monthly reports for the department.
  • Responsible for the dissemination of all relevant information to departments, external and internal users (e.g. dissemination of minutes, memos).
  • Assist with training new team members in Trust operational systems and department procedures.
  • Responsible for ordering stationery and other equipment whilst monitoring and maintaining stock levels using GHX system.
  • Responsible for the receipt and distribution of incoming/outgoing post and action accordingly.
  • Prioritise daily tasks to achieve timescales set.
  • Act as first point of contact for complaints within the department, dealing with them accordingly and in line with Trust policy and values and departmental standards.
  • Provide appropriate cover in the absence of other members of the team.
  • Continually contribute to patient and business improvement Agendas. Share ideas for potential service improvement.

Qualifications

Essential criteria
  • • Basic numeracy and literacy qualifications • NVQ 2 in Customer Care or equivalent or willing to work towards

Experience

Essential criteria
  • • Experience in customer facing role • Experience working in a busy administration environment
Desirable criteria
  • • Previous employment within the NHS.

Knowledge

Essential criteria
  • • Working knowledge of Microsoft Office packages such as Outlook, Word, Excel
Desirable criteria
  • • Working knowledge of electronic patient records

Skills

Essential criteria
  • • Able to communicate clearly, both written and verbally • Maintains a high level of accuracy • Able to prioritise and organise own workload • Able to track information • Ability to type letters and clinical correspondence
