Job overview
An exciting opportunity has arisen for a dedicated and experienced Medical Secretary to join the Department of Interventional Radiology at the University Hospital Coventry & Warwickshire NHS Trust.
The successful candidate will provide a specialised, comprehensive, and confidential patient centred clinical administration and secretarial service to the Interventional Radiology Consultants and their teams in accordance with Departmental, Trust policies and procedures and National standards. To act as a source of advice and guidance regarding the specialism and act in a coordination role to facilitate complex procedures.
To work closely with the Interventional Radiology Consultants and clinical teams to provide a safe and effective management of referrals, clinical correspondence, outpatient clinics and all associated medical secretarial duties and acting as a first point of contact for consultants, colleagues and patients.
Ideally the candidate should have strong secretarial skills, be proficient in the use of Microsoft Word, Excel, Outlook, Diary Management and have excellent organisational, communication and typing skills.

Main duties of the job
To ensure provision of a comprehensive, high quality and efficient administrative and secretarial service to the Interventional Radiology Consultants and their team.
To manage own day-to-day workload, ensuring that priorities including the 18 week pathway are identified and dealt with and that problems are resolved as quickly as possible.

Detailed job description and main responsibilities
- To work as part of a team ensuring that adequate arrangements for cover are in place for own planned absence and there is full participation in cover for colleagues during planned absence, sickness or workload pressures.
- To work alone and manage own workload.
- Prioritise and allocate work resulting from opening and actioning of mail and electronic sources.
- To act as a point of contact and coordination for specialist procedures liaising with other clinical teams as required.
- To support departmental meetings by booking facilities, creating agendas, minute taking and action planning.
- Undertake supervision of the junior admin team as required.
- To act as point of contact in dealing with complex telephone calls and enquiries promptly and efficiently, referring on as necessary.
- To manage consultant diaries, arrange meetings and appointments as required by the Consultants ensuring these are entered in the diary and any necessary adjustments are made to clinical commitments.
- To process consultant annual leave and study leave requests in accordance with agreed policy, ensuring this is recorded correctly and clinical commitments are cancelled.
- To assist in the coordination of projects throughout the planning, implementation and dissemination phase.
- Assist with governance tasks and in the complaints resolution procedure as appropriate.
- To develop and promote good working practice, ensuring standard protocols are in place.
- To ensure staff have an adequate supply of office/secretarial stock and non-stock items by ordering through admin manager in good time.
- Liaise with internal departments and external organisations.
- Undertake other duties as required in line with the post.

Qualifications
Essential criteria
- • High standard of general education including GCSE in English & Maths or equivalent. • Evidence of ongoing self-development. • Typing qualification or significant experience
Desirable criteria
- • ECDL or equivalent.
Experience
Essential criteria
- • Experience in the role as a Medical Secretary/PA or comparable experience in other background • Experience of minute taking & diary management. • Ability to multi-task effectively.
Desirable criteria
- • Experience of working in a high-pressure environment. • NHS experience
Knowledge
Essential criteria
- • Advanced keyboard skills and thorough working knowledge of MS Office 365 (Teams, Outlook, Word, Excel & PowerPoint).

- • Awareness of current issues within the NHS • Knowledge of NHS systems
