Job overview

An exciting opportunity has arisen for a dynamic and reliable individual to join the One Coventry Integrated Team (OCIT) as a procurement and equipment coordinator.

The post holder will work closely with the nursing, medical, therapy, admin and AHP team to ensure the service is equip with clinical and non-clinical equipment and consumables.

The successful candidate will be proficient in MS office packages, specifically Excel and be able to manage, coordinate and procure equipment across 3 community sites in Coventry.

The successful candidate must have a full UK driving license and have a car that can be insured for work usage.

Main duties of the job

1. Use initiative in filtering information and be proactive in dealing with routine matters, seeking support from line manager where necessary.

2. Filing and storing digital documentation and distributing correspondence as necessary.

3. To undertake duties required by senior staff members to ensure the smooth day to day running of the service.  This would require an ability to prioritise on-going workloads, to work under minimal supervision and use own initiative to ensure successful completion and to identify organisational developments as required.

4. Assist the team in departmental stationery control along with checking deliveries and maintaining records. 

5. Be able to create and maintain spread sheets as and when required, as determined by the Team including an exhaustive stock itinerary.

6. To liaise with the team in relation to project requirements to ensure quality standards are maintained and meet targets in relation to stock requirements, as agreed.

7. To participate in effective and collaborative team working by sharing relevant verbal and written information with colleagues in a timely manner. 

8. The jobholder will support the LIT Teams in implementing new ways of working and policies alongside general improvements to processes and practice with the support of the LIT managers.

9. Work alongside the organisations pharmacy department to ensure the safe and timely collection of medications.

Detailed job description and main responsibilities

1. The post-holder will work closely an in collaboration with clinical, operational, and administrative colleagues across the OCIT service.  

2. The job holder will be responsible for the co-ordination of equipment, clinical and non-clinical within OCIT. To manage stock control including the process of ensuring that appropriate amounts of stock are maintained for the Local Integrated Teams across the 3 sites allowing for the service to meet patient and service needs. The job holder will support the procurement of stock as well as the management and maintenance of clinical equipment in collaborations with the trusts MEBs team.

3. The post-holder will have a key role in working with the multidisciplinary team and the operations manager for OCIT to deliver against key performance indicators and provide a high quality service. The job holder will ensure that agreed standards are met and policies and procedures are followed.

4. This is a busy Department and there will be interruptions and changes to priorities, and you will be required to prioritise and communicate effectively.

5. The post holder will act as a point of contact and be responsible for the dissemination of information, messages, documents, and enquiries relating to consumables, clinical and non-clinical and equipment. Working with both internal and external sources.

6. You will work under the supervision of the LIT managers and be expected to balance workload on a day-to-day basis within the overall demands and priorities of the Department, providing assistance as required and seeking advice and support whenever necessary.

The group is currently trialling a new Integrated Neighbourhood Team (INT) model following a collaborative event with internal and external stakeholders. This pilot aims to explore team structures and assess the impact on patient experience. While no formal redesign has taken place yet, the outcomes of this trial may inform future service delivery and team configuration across the group.
