Job overview

An exciting opportunity has arisen for a ward clerk within the Maternity department who will  be based on the Fetal Wellbeing Department.  The successful postholder will be expected to cover other departments within Maternity if required.  We are looking for an enthusiastic individual who enjoys working in a team, has good interpersonal skills and is an efficient individual with excellent communication and IT skills.

You should possess a strongly held commitment to high standards of service delivery dedicated to giving the patients and the visitors the highest quality.

You will be required to provide comprehensive and confidential administrative and clerical activities to meet the needs of the service in accordance with Departmental, Trust and National standards, policies and procedures. You will effectively communicate information and advice to enable the multi disciplinary team to achieve operational excellence.

Main duties of the job

  • Acting as the first point of contact welcoming service users to the department, dealing with routine enquiries and take action as necessary liaising with others as appropriate.
  • Maintain an efficient and comprehensive administration service, providing support to other departments and team members within Maternity as requested.
  • Communicate with staff, patients and their families and any external organisations using appropriate methods.

Detailed job description and main responsibilities

  • Maintain both manual and electronic filing systems and databases, as required by the department and Trust policies, ensuring all documents are accurately and appropriately archived.
  • Utilise relevant Trust IT systems, as determined by the role, ensure all relevant patient data is collected and input accurately in line with Trust guidelines.  These systems may also include EPR, Soliton etc.
  • Collate, input and monitor department documentation and information to assist with the production of monthly reports for the department.
  • Responsible for the dissemination of all relevant information to departments, external and internal users (e.g. dissemination of minutes, memos).
  • Assist with training new team members in Trust operational systems and department procedures.
  • Responsible for ordering stationery and other equipment whilst monitoring and maintaining stock levels using Integra system.
  • Responsible for the receipt and distribution of incoming/outgoing post and action accordingly.
