Neonatal Unit Nurse Staffing E-Roster Coordinator

Job overview

To lead on the day-to-day management of the staffing e roster within the Neonatal unit. To Ensure that any gaps within the roster are offered out to QIS nurses, registered nurses, nursery nurses and HCA's as appropriate to the skill required for the particular shift. This will include review of the skill mix in each area in accordance with the BAPM and Trust guidelines, policies and procedures to support safety and quality within the Unit.

Main duties of the job

Our neonatal unit looks after up to 8 Intensive care cots, 8 High dependency cots, 14 Special care cots and 4 Transitional care cots. We are the hub for the new Outreach service for the Coventry, Warwickshire and Nuneaton area.

Detailed job description and main responsibilities

Act as booking lead for all bank shift bookings ensuring correct skill mix and auditing of bank shift e.g. cancelations. This will include liaising with managers and senior colleagues to ensure authorisation for bookings have been approved.

Create a safe and accurate 4 weekly rosters using Eroster that is within budget.

Attend the daily safety huddle to gain information regarding staffing and acuity work with the ward managers to escalate any issues with deficits in the staffing.

Review the rota for gaps e.g. sickness and look at where shift swaps can be made and / or message staff requesting Bank shifts to cover. Ensure deadlines are met to cover vacant shifts.

Attend relevant to the post meetings when required. Attend the monthly Carter review meeting.

Monitor and report on DNA’s and late cancellations reports and review alongside to ensure these are managed and are in line with trust process.

Work alongside the ward managers to ensure that all bookings are recorded on the e roster correctly and correspond with payment information.

Assist in project work as directed e.g. obtaining information from various sources, collation and reporting of data, assisting in the production of reports and other documents.

Ensure weekly bank shift are authorised and locked on a Monday morning before 10am.

Review the shift swap book and action appropriate swaps, contact staff if the swap is not possible.

Have an understanding of recruitment related employment law.

Maintain data protection, GDPR and patient confidentiality.

Maintain focus and good attention to detail e.g. flexible agreements and auto roster to ensure correct shift allocation avoid errors in rota/payment.

Create and update unit allocation ensuring any gaps are escalated in a timely manner.

Analyse allocation on a 4-week basis to identify shortfalls in staff rotation.

To undertake other administrative tasks to support the team which may include processing bank timesheets, letters of engagement, photocopy ID documents etc.
