Job overview

To provide a specialised, comprehensive and confidential patient centred clinical administration and secretarial service to Consultants and their teams in accordance with Departmental, Trust and National standards, policies and procedures. To act as a source of advice and guidance regarding the specialism.

Main duties of the job

  1. To welcome, receive and greet all visitors to the area, providing the first point of contact for all service users, dealing with and resolving routine enquiries and take appropriate action as necessary liaising with others as appropriate.
  2. Responsible for implementing, updating and maintaining both manual and electronic systems and databases according to Trust policies and procedures.
  3. Be responsible for dealing with all calls received in a professional manner, ensuring telephone standards are met.
  4. Ensure all clients are provided with the relevant information, documentation and advised as to the appropriate contact for further assistance.
  5. Be responsible for ensuring all communications associated with the appointment process e.g. with Clinicians, patients, GP’s and relatives etc. are undertaken in a timely and appropriate manner.

Detailed job description and main responsibilities

  • Assist with training new team members in operational Departmental and Trust Procedures.
  • Undertake filing and photocopying as necessary ensuring all documents are accurately and appropriately archived.
  • Prioritising daily tasks to achieve set timescales.
  • Act as first point of contact for complaints within the department, dealing with them accordingly and in line with Trust policy.
  • Collate, input and monitor department documentation and information to assist with the production of monthly reports.
