Job overview

  • The post-holder will work closely an in collaboration with clinical, operational, and administrative colleagues within CDSS outpatients across all UHCW sites. 
  • They will work as part of the quality team to support the delivery of key performance indicators and provide high quality support including information validation, analysis and administrative support for governance meetings

Main duties of the job

  1. Provide a range of secretarial skills including Word-processing, PowerPoint presentations, Excel spreadsheets, electronic diary management and meeting arrangements via outlook and Teams, audio transcription. These skills will need to be demonstrated to the highest professional standard.
  2. To establish and operate an effective communication system (this is to include all forms of communication digital, verbal and postal) to handle incoming enquiries and requests for the outpatient services and leadership team from both internal and external stakeholders. 
  3. Manage and validate data for the Outpatient services within the Clinical Diagnostic and Support Services group to ensure adherence to key performance indicators and maintain the services monitoring documents of these indicators.
  4. To collate information and tabulate data, statistics etc. in order to assist the management team, e.g. staff training, records and annual leave absence.
  5. Upon request management of the Leadership team’s electronic diary, including the arrangement of meetings, ensuring planning time is diarised, appropriate arrangements for appointments are made and all necessary paperwork bought forward. Diary management to include scheduling of regular meeting.

Detailed job description and main responsibilities

  • Ensure accurate and timely submissions for local and national reporting requirements. 
  • To ensure standards for clinical data and quality metrics within the CDSS Outpatient services are met.  
  • Develop and produce information and performance reports in line with Governance requirements, including oversight and coordination of Datix and risk management. 
  • Collate and coordinate risk assessment portfolio, including yearly health and safety report.
  • Assist in the identification of appropriate audits, schedule their completion, monitor compliance and trends for appropriate escalation.
  • Manage internal and external database systems including any room booking tool, clinic booking system
