Main duties of the job

You will be based within the procurement team in  the Pharmacy Department at UHCW NHS Trust supporting the safe and cost effective procurement of medicines for use within the trust and ensuring all invoices are processed in line with suppliers terms and conditions.

Applicants should have good communication & organisational skills; be self-motivated and possess excellent interpersonal skills, be flexible and able to work well in an environment of change and transition. Applicants must also have good computer skills and be able to work well under pressure. 

You will be expected to develop good working relationships with other departments within the Pharmacy and Hospital.

You will work closely with the rest of the pharmacy team to provide high quality pharmaceutical care to all patients within the Trust.

Detailed job description and main responsibilities

  • Responsible for sending approved orders via the Pharmacy Electronic Data Interchange Software (EDI) or email
  • Process routine electronic and manual invoices using the EDI Software and the Pharmacy Stock Control System referring any cost queries and anomalies to the Specialist Pharmacy Technician – Procurement
  • To answer the telephone in a friendly and efficient manner with referral to other pharmacy staff as appropriate
  • Assist with the processing of credits
  • Input procurement data into the relevant spreadsheets and data bases

Qualifications

Essential criteria
  • • Good basic education, 4 GCSE’s, to include GCSE English • Demonstrate excellent numeracy & literacy skills • EDCL, NVQ2 ITQ or Business and Admin or willing to work towards
Desirable criteria
  • • Working towards CIPs or equivalent qualification

Experience

Essential criteria
  • • Experience of working in a busy administrative environment • Experience in a customer facing role • Experience of working to deadlines • Experience of working in an office environment
Desirable criteria
  • • Experience of working in procurement utilising e-procurement systems • Experience of Pharmacy Procurement

Knowledge

Essential criteria
  • • Thorough working knowledge of Microsoft Office packages e.g. Word, Excel, Outlook, PowerPoint
Desirable criteria
  • • Understanding of procurement processes and systems • Understanding of Pharmacy Procurement

Skills and Abilities

Essential criteria
  • • Ability to communicate clearly, both written and verbally • Maintain accurate information, collect and maintain accurate records. • Ability to prioritise and organise own workload • Woking as part of a team • Good numerical and keyboard skills • Able to maintain concentration for prolonged periods of time when processing orders and inputting data
Desirable criteria
  • • Ability to use electronic ordering systems including Powergate and JAC • Ability to use e-mail system
