Main duties of the job

We are looking for a Quality and Governance Co-ordinator to join our friendly audiology team.  This is a new role and offers an exciting opportunity to join a service that provides audiology care for adults and children.

We are looking for an enthusiastic team player with excellent communication skills, attention to detail, who is proficient in all Microsoft applications. This position would suit someone looking for a full and varied position, with the ability to work autonomously, and adapt to changing priorities. Understanding of NHS governance structures and processes is desirable but not essential. The post holder will have access to the relevant training.

As Audiology Quality and Governance Coordinator, the post holder will provide comprehensive support to the Audiology Quality Lead and Audiology Management Team, maintaining and developing the existing quality management system for the service and supporting UKAS accreditation. The post holder will support clinical governance and risk management processes and management of patient safety incidents and risks via the Datix system.

The post will involve effective time management, managing schedules ensuring appropriate and timely communications with all relevant personnel; arranging meetings/events; composing and transcribing minutes proactively ensuring action points are raised and completed; preparation of correspondence and reports; effective management of electronic correspondence and documentation management systems.

Detailed job description and main responsibilities

  • You will need to provide a range of secretarial skills including Word-processing, PowerPoint presentations, Excel spreadsheets, electronic diary management and meeting arrangements via outlook and Teams. These skills will need to be demonstrated to the highest professional standard.
  • Maintain an efficient and comprehensive administrative service, including photocopying, providing support to the department and other team members as requested.
  • To prepare and submit draft agendas, action logs and minutes as well as other papers, for all Quality meetings arranged by the Audiology Quality lead including for Audiology QIPS (Quality Improvement and Patient Safety)
  • To organise and attend meetings as delegated by the Audiology Quality lead including taking and transcribing minutes and to assist with actioning of decisions including any     administrative duties in relation to those meetings including Audiology QIPS (Quality Improvement and Patient Safety)
  • Provide specialist administrative support to UKAS accreditation visits and meetings including visit and room scheduling, coordination and communication with clinical teams and senior leadership team and monitoring of actions related to accreditation approval
