Job overview

The Women's and Children's division are seeking to recruit x2 Band 2 receptionist to work on a part time basis .  The posts are for part time 18 hours weekly.

Shift pattern: 

Monday - Sunday

The positions covers reception at UHCW and St Cross, Rugby. It is important that you are flexible to work at either site when required.

The successful applicant will be expected to cover  our maternity A&E reception which runs 24 hours a day 7 days a week. 

The department manages in total 7 reception areas. 

As a group in line with with the Trust we put our patients first in all that we do.

We are supportive to our staff and work cohesively as a team as well as being, able to demonstrate individual initiative.

Successful applicants will be required to provide an immunisation and vaccination report, from either their current UK occupational health provider or their UK GP. 

Main duties of the job

  • You will be first point of contact for patient enquires and it is essential that the patient's experience begins in a professional and polite manner.
  • As well as admitting patients you will raise case notes for new born patients.
  • Provide a high quality reception service to all users ensuring an efficient, professional and prompt reception and administration service is delivered at all times
  • Provide excellent patient care to ensure timely, relevant advice and assistance
  • Manage all telephone calls according to departmental standards and respond appropriately to maintain effective communication channels.
  • Deal with all enquiries from patients, staff and visitors in a courteous, efficient and tactful manner
  • Ensure that each patient is treated as an individual and their individual needs are met.  Update and ensure patient demographics are current.

Detailed job description and main responsibilities

The main duties for our reception areas include the following,  but is not an exhaustive list which you will undertake when on reception duty

  • To welcome, receive and greet all visitors to the area, providing the first point of contact for all service users, resolving routine enquiries and complaints professionally and in accordance with Departmental and Trust standards and procedures, referring other queries to relevant colleagues where appropriate.
  • Responsible for implementing, updating and maintaining both manual and electronic systems and databases according to Trust policies and procedures.
  • Be responsible for dealing with all calls received from patients & families in a professional manner, ensuring telephone standards are met.
  • Ensure all patients parents/carers are furnished with the relevant information documentation and advised as to the appropriate contact for further assistance.
  • Be responsible for ensuring all communications associated with the appointment process e.g. with Clinicians, patients, GP’s and relatives etc. are undertaken in an expeditious and appropriate manner.
  • Assist with training new team members in operational Departmental and Trust Procedures.
  • Prioritising daily tasks to achieve set timescales.
  • Collate, input and monitor department documentation and information to assist with the production of monthly reports.
  • Provide appropriate cover in the absence of other members of the team.

Qualifications

Essential criteria
  • • Basic numeracy and literacy qualifications • NVQ 2
Desirable criteria
  • • Willing to work towards NVQ 2

Experience

Essential criteria
  • • Previous experience in a patient/customer service environment • Experience of working in a customer facing role
Desirable criteria
  • • Previous experience in an NHS or patient customer environment • Use of hospital Patient Administration system

Knowledge

Essential criteria
  • • Knowledge of Microsoft Word and Excel
Desirable criteria
  • • Knowledge of NHS systems and processes – primarily outpatients

Skills

Essential criteria
  • • Ability to communicate clearly, both written and verbally • Keyboard skills RSA 1 or equivalent
Desirable criteria
  • • Ability to track information
