Main duties of the job

  • To provide a comprehensive ward clerk service to the ward area, ensuring the ward complies with good medical records practice in line with the George Eliot Hospital Medical Records Policy. 
  • To provide an efficient and professional clerical service to the Nursing, Medical and Surgical Teams.
  • To communicate over the telephone and personally with patients, patients representatives and relatives relaying accurate and applicable information as required.
  • To receive and welcome patients and relatives to the Ward area.
  • To work as part of a team and support the Department to ensure consistent and effective administrative service is maintained at all times

Detailed job description and main responsibilities

  • Admit and discharge patients onto the Patient Administration System (Lorenzo) in a timely manner and ensure that the system is kept up to date and reflects the patients currently on the ward, including consultant/ speciality transfers.
  • Ensure all relevant documentation is printed from Lorenzo and copies are available within the patients notes.
  • To ensure that all patients hospital notes are up to date and sent back to Medical Records Department for filing and tracked in accordance with the Trust Case Note Tracking System
  • Ensure all theatre lists are displayed on the wards and to prepare for admissions of patients and ensure that patient notes, where possible, are on the ward prior to the patients arriving.
  • In line with the Trusts’ Medical Records Policy, ensure that all filing is kept up to date and filed correctly in the patients hospital notes.
  • Welcome members of the public entering the Unit and ensure any queries that arise are dealt with.
  • Greet patients on arrival to the Unit, check and update personal details as required.  Maintain confidentiality at all times.
  • To answer the ward telephone and ensure that information is correctly handled and disseminated appropriately.
  • To assist the Nursing Team with appropriate administrative duties related to the overall functioning of the Unit.
  • To ensure workstation and case note trolley’s are kept tidy and organised and maintained to the standard of infection prevention standards.
  • To manage patients outpatients appointments during their stay and on discharge.
  • To arrange patient transport as required.
  • Maintain confidentiality of information relating to patients, staff and the organisation at all times.
  • Take lead responsibility for ward requisitions and maintaining ward stationary.
