Job overview

We are looking to recruit a part-time receptionist to join our reception team within the Radiology Department.

The role will encompass dealing with patients, clinical and non-clinical staff by face to face and telephone; subsequently you will require excellent communications skills. A flexible approach to this role is essential to ensure the demands of the service are met.

As part of the team you will be registering patients onto the departments RIS system whereby accuracy is essential.

Working knowledge of all common computer applications including word is essential, as you will be required to carry out a wide range of transactions and associated data input. Specialist training will be given on 'in house' systems.

22.5 hours per week, Monday, Tuesday & Thursday between the hours of 0800 - 1700. Cover at the University Hospital Coventry & Warwickshire may be required in this role.

Successful applicants will be required to provide an immunisation and vaccination report, from either their current UK occupational health provider or their UK GP. 

Main duties of the job

  1. Act as the first point of contact for patients and visitors dealing with routine enquiries and act as necessary liaising with others as appropriate. 
  2. Booking in patients for their appointments. 
  3. Processing of referrals in line with Departmental guidelines.
  4. Maintain an efficient and comprehensive administrative service, including photocopying, providing support to the departments and other team members as requested.
  5. Utilise relevant Trust IT systems, as determined by the role, ensure all relevant patient data is collected and input accurately in line with Trust guidelines. These systems may include IPM, CRRS, Opera, CRIS, Ultra, Respond, IMPAC etc.
  6. Maintain both manual and electronic filing systems and databases, as required by the department and Trust policies, ensuring all documents are accurately and appropriately archive.

Detailed job description and main responsibilities

  • Communicate with staff, patients and/or external organisations using appropriate methods.
  • Responsible for the receipt and distribution of incoming/outgoing post  and action accordingly.
  • Prioritise daily tasks to achieve timescales set.
  • Act as first point of contact for complaints within the department, dealing with them accordingly and in line with Trust policy and departmental standards.
  • Provide appropriate cover in the absence of other members of the team.
  • Continually contribute to patient and business improvement Agendas. Share ideas for potential service improvement.
  • Assist with training new team members in Trust operational systems and department procedures.

Qualifications

Essential criteria
  • • RSA/OCR II or equivalent typing/word processing • Key Skills Level 2 in literacy and numeracy or equivalent

Experience

Essential criteria
  • • Experience in customer facing role. • Experience in working in a busy administrative environment

Knowledge

Essential criteria
  • • Working knowledge of Microsoft Outlook, Word and Excel. • Good understanding of general office procedures
Desirable criteria
  • • Awareness of current issues within the NHS

Essential criteria
