Job overview

Are you able to work as part of a team in a very busy reception? 

If so we are looking for a 30 hour per week Receptionist to complement our building to offer support for a 12 month fixed term contract.  As part of this very busy team you will be responsible for maintaining and supporting frontline reception and support the building’s administration services.

 

Main duties of the job

The post-holder will be the first point of contact for the building. You will also be expected to carry out a full range of reception duties for the building, providing an efficient and professional service to telephone callers and to visitors and members of the public. 

You will work closely with other administrative staff to ensure continuity of administration support and mutual assistance within the Service.  It will be expected that the post holder will be able to think on their feet, provide flexible cover for service opening hours and in to cover times of absence such a holidays etc.

Detailed job description and main responsibilities

The duties listed below are a general overview of the tasks and duties that you would be expected to undertake within your post. Individual details, tasks and duties will be arranged and agreed at a local level and will reflect local needs, whilst remaining within the overall factors listed below.  This list of core duties is not intended to capture every individual task, reasonable management requests for staff to be flexible and adaptable to changes in circumstances driven by organization needs will be expected but will remain within the general principles of the banding of this post.

•      To receive and welcome members of the public and visitors in a courteous and professional manner and to direct them to their destination within the building as required.  This includes the registration of all visitors to the building to comply with fire regulations.

•      The post holder plays a front-line role within the department/site and as such a high standard of personal and professional skills are required.

•      The post holder will work collaboratively with colleagues in the building on a range of issues, effective communication between departments is therefore essential in order to ensure consistency.

•      To undertake a range of administrative duties such as photocopying, binding, laminating and sending faxes when required.

•      Use of basic computer packages ie word and excel for production of letters, memos, faxes, etc.

•      To deal with queries from staff and visitors on a one to one basis e.g. directions and parking information.

•      To develop good relationships with other administrative staff and will play a key role in assisting and providing support to all persons within the department/site. 

•      The post holder will be able to check availability and book internal meeting rooms and external venues when required.

•      Due to the high volume of traffic frequenting the building, the job holder must be flexible in managing their work load and must be able to maintain high levels of concentration, and deal with frequent interruptions.

•      To ensure reception are presentable and tidy at all times and complies with Health and Safety requirements.

•      To be responsible for the maintenance of the visitors register, ensuring that badges are issued and logged in accordance with Trusts policies and procedures.

•      To be responsible for the maintenance of the building key register, ensuring that keys are tracked in line with the departments operating procedures.

•      To report faults on the department/site equipment, including fax and photocopier and highlight when paper and consumables need re-stocking ie, toner cartridges, staples, drums.

•      To be aware of the Trusts fire evacuation policy and to take appropriate action in the event of alarm activations.

•      Take part in Personal Review Development (PDRs) with the Business Support Manager, identifying training needs to keep abreast of change as required.  To attend mandatory training and any other training courses relevant to the post.

•      This role is based in the main reception and will involve sitting for long periods of time with little scope for moving, whilst utilizing IT / PC equipment.
