Job overview

An opportunity has arisen for a motivated individual to provide administrative co-ordinator to the SEDS based in Brighton. SEDS is an expanding team delivering care and support to adults in the community with eating disorders across Sussex. 

As Admin Co-ordinator, the post holder will work as part of a dynamic team and will act as the first point of contact for service users and staff. They will be primarily responsible for co-ordinating and overseeing the Waiting List Management system within SEDS, which is a core function of the service. They must be able to demonstrate excellent communication skills when dealing with vulnerable individuals.

Main duties of the job

The post holder will provide general administration for the team when required. The main duties of this post will be providing operational support to the management of our assessment and treatment waiting lists, by overseeing the assessment bookings and administrative tasks that go alongside this, updating the treatment waiting list, data collection and intelligence, agenda preparation and minuting of weekly waiting list and allocation meetings. 

The successful candidate will also need to work closely with the admin team leader who will oversee their workload and the wider staff team. The role will require proven organisational skills and the ability to work under pressure to tight deadlines. The post holder will be working as part of a team but also expected to work independently to manage and prioritise own workload.  Excellent communication, administration and IT skills are essential for this role, along with high levels of motivation, enthusiasm and a ‘can do’ attitude.

Detailed job description and main responsibilities

  • Oversee the day to day management of the assessment and treatment waiting lists within SEDS.
  • Inbox management, liaising with patients and professionals both internal and external.
  • Providing admin support at the dedicated waiting list management and allocation meetings.
  • To maintain and prepare agendas and minute where appropriate.
  • Contacting patients to arrange initial assessments.
  • Responsible for waiting list diary management.
  • To maintain and update relevant spreadsheets and ensure accuracy of data.
  • To compile appropriate reports and audits.
  • To work closely with other administrators to co-ordinate workload and delegation of responsibilities.
  • To carry out any other duties in line with the grade and scope of the post, working as part of the team and to cover as necessary for annual leave and sickness.

Qualifications

Essential criteria
  • NVQ 3 in Business & Administration or evidence of equivalent practical experience
  • RSA 3 or equivalent experience and evidence of further practical experience
  • Good standard of secondary education; GCSE at Grade C or above

Knowledge/Experience

Essential criteria
  • Significant experience of a range of secretarial procedures
  • Significant experience of working as an administrator or secretary
  • Experience of office and resource management
  • Experience of supervising others
  • Experience of producing documents to a high standard of presentation with good accuracy
