Full Time Band 2 Administration Assistant
Lewes and Havens Assessment and Treatment Service
An exciting opportunity has arisen in the High Weald, Lewes and Havens Assessment and Treatment Service for 1 full time Band 2 Administration Assistant based at Hill Rise, Newhaven.
We are looking for a well-organized, efficient administrator to be an effective member of the team.
Preferably you will have experience in a medical setting or administration experience elsewhere. You will have good communication, organisational and time management skills. An ability to prioritise effectively in a busy environment is essential and well as having a flexible approach. The main duties of the role include filing clerk duties alongside undertaking reception responsibilities and general administration tasks.
You must be proficient in the use of Microsoft Office including ‘Outlook’ and ‘Word’. Experience in the use of databases is desirable as well as running and maintaining a complex filing system.
Hours: 37.5 Monday - Friday 8.30am to 5pm.

Main duties of the job
Reception Duties
Working shifts on the out-patient reception desk.
Answering telephone calls, taking messages and passing on accurate information to the relevant members of staff.
Deal with room bookings sent to the Outlook inbox and keep staff updated with their booking requests.
Meet and greet service users, visitors and staff into the out-patient unit. Ensure that the person they are visiting is contacted regarding their arrival.
Promote a positive image of the department by checking that notices and leaflets are up to date and well presented.
Ensuring the reception area and clinic rooms are tidy and secure at the end of each working day.
Opening the daily incoming post and passing to relevant person.
Preparing prescription requests for reception supervisor.

Administration Tasks
Dealing with routine enquiries in a pleasant and helpful manner, communicating relevant information and referring to others as appropriate.
Ensure that general office supplies are monitored especially with regards to the patient filing system.
Ensure that all complaints, comments and suggestions are dealt with appropriately by timely reporting to supervisor.

- NVQ2 or equivalent or GCSE at Grade C or above in English and Maths
Knowledge/Experience
Essential criteria
- Previous experience of working in an administrative environment using computerised data systems.
- Understanding of Data Protection Act.
- Experience of working in a customer service environment particularly reception.

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
