Job overview
The post holder will provide medical secretarial support to the Colposcopy Department within the Women’s Division at the Calderdale and Huddersfield NHS Trust. The work requires the ability to work unsupervised and handle a variety of duties in a small but dedicated team.
Main duties of the job
Act as a secretarial focal point for the department liaising with consultants, wards, outpatients, appointments, GP, patients etc. Arrange outpatient appointments, investigations and other related items and to be aware of the colposcopy waiting times and to ensure appointments are booked within the appropriate timescale.
Liaise with patients and relatives via telephone in a compassionate and tactful manner. Resolve any queries they may have and ensure all messages left on the answer phone are dealt with promptly to ensure that all demographic details are accurately recorded.
Ability to work on own initiative and make decisions within written guidelines, sometimes without reference to others.
Dealing with results and reports of investigation as necessary. Ensure that targets are met in regards to the prompt priorisitation of GP/Consultant direct referrals and fast track smears and to arrange procedures and investigations.
Monitor and arrange follow-up as necessary on a monthly basis, in accordance with the Cervical Screening Programme Protocol.
Typing clinical and non-clinical letters and reports for discharges, outpatients within allocated timescale for onward transmission to GP, other hospitals etc. using the systems provided.
Data collection and input of activity on EPR system. Being proficient in the extraction of information from systems such as PAS, ICE and MPT. Liaising with other medical specialties and departments as required.

Detailed job description and main responsibilities
• Dealing with the telephone calls, internal and external, from departments, wards, medical staff, GP’s, other hospitals etc. Ensure that all queries are attended to as soon as possible and conveying any messages to the appropriate personnel.
• Send out appointments and information to patients as and when necessary.
• Required to deal with confidential matters using discretion and sensitivity
• To deal with enquiries and take necessary action on behalf of and in the absence of work colleagues.
• To develop working relationships with personnel in other departments within the Trust.

QUALIFICATIONS / TRAINING
Essential criteria
- GCSE English grade A* - D or equivalent, GCSE Mathematics A* - D or equivalent
- Motivation to develop the role and themselves
Desirable criteria
- ECDL or Microsoft package
- Customer focused training already undertaken
KNOWLEDGE, EXPERIENCE & EXPERTISE
Essential criteria
- Experience of working within a customer focused setting, office/admin environment
- Good organisational skills
- Experience using various administrative computer systems and good computer skills
- Able to work quickly and accurately
- To prioritise workload and deadlines
Desirable criteria
- Experience of working within an office-based NHS setting
- Knowledge of EPR/ERS
