The General Surgery directorate is appointing into their admin service manager post. This is a rare and exciting opportunity  to apply to this subtantive position.

As Admin Manager, you will:

Main duties of the job

Key elements of the role include;

  • Provide a full and comprehensive administration service for the General Surgery directorate , including line management.
  • Provide administrative support to projects taking place within the services.
  • Review and optimise the admin structure and processes in the department to support key performance measures and comply with National and Trust targets.
  • Ensure all staff are working towards the delivery of high quality care to patients.
  • Ensure all staff are working to deadlines that contribute to national standards and patient experience measures for the service.

To continually improve and monitor processes and procedures of teams to ensure they are delivering an effective service and the teams remain competent and motivated.

To support the Operational Managers  in delivering targets relating to elective recovery.

To build and maintain positive working relationships with colleagues across the trust ensuring agreed quality metrics are achieved consistently.

Detailed job description and main responsibilities

To support the Divisional Senior Management Team in the development and implementation of an efficient waiting list service for the Trust.

The admin service manager responsibilities will range of operational activities, working autonomously using initiative and their specialist knowledge and experience of the service to make decisions.

This is a key post established to implement and manage monitoring and administrative systems to achieve National and Local waiting time targets.

 

The Manager will be responsible for implementing and managing rotas, admin teams and patients waiting lists. They will oversee all administrative and clerical process to enable a high quality and effective patient focused service to be delivered.

 

The Manager will provide senior support and expert knowledge to the team of waiting list co-ordinators and associated roles within the admin team.

The Manager will provide senior support and expert knowledge of the RTT, data quality and robust rota coordination.

To work alongside Theatre Scheduling Manager to support daily running of theatre lists and aid any escalations.

To work with external stakeholders when required for managing waiting lists.

  • Degree Level or equivalent level of experience

KNOWLEDGE, EXPERIENCE & EXPERTISE

  • Relevant experience in the NHS
  • Knowledge of NHS targets
  • Experience of waiting list management
  • Experience of NHS performance management
  • Experience of staff and budgetary management
  • Knowledge of the e-Referral System (eRS)
  • IT & Computer literacy
  • Understanding of 18 weeks referral to treatment targets
  • Able to analyse the nature of complex problems, using a variety of sources and formats, and can describe the desired solution and options for achieving this
  • Anticipates problems and takes preventative action or have contingency measures available
