Job overview

We are looking for an motivated person with excellent interpersonal skills and experience of working within a customer focused environment.   Knowledge of medical terminology would be an advantage but is not essential as full training will be given. 

You will be required to undertake a wide variety of administration duties including arranging Radiology and Phlebotomy appointments and reception work. You will also have to work to deadlines whilst maintaining data accuracy working in a pressurised environment.  

A portion of this job will be at the new Halifax CDC at Broad Street Plaza and Huddersfield CDC at the university. This will involve some evening and weekend working

You should have excellent communication skills, together with the ability to work as part of a multidisciplinary team.  An excellent telephone manner and attention to detail are essential and the awareness for strict confidentiality at all times.

Main duties of the job

Working as part of the Radiology Administration team, the post holder will be required to provide efficient and clerical support to the Radiology Department including community sites.

To work as part of a team providing a high-quality service to patients, visitors and colleagues within the Radiology Department.

To be the first contact at Radiology reception desk and on the telephone for all service users. Book patients’ appointments for diagnostic purposes in line with the office booking rules and using the electronic diary. Be flexible and rotate between tasks and sites.

Detailed job description and main responsibilities

 To work flexibly on a cross-site, rotational basis covering the Radiology Appointment Centre and Radiology reception areas in accordance with the team rota.

·       To work in the Community Diagnostic Centres at Halifax and Huddersfield. This work may involve some long days or weekend working

·       Work in the Radiology Appointment Centre to arrange appointments for all modalities using the CRIS electronic diary.

·       Attend the reception areas, giving a polite reassuring and professional service to all our service users.

·       Maintain effective working relationships with all grades of staff.

·       Greet patients in a welcoming friendly manner, book patients into the department confirming that records of the patient’s details are accurate and up to date.  Ensuring amendments are made on EPR/CRIS where necessary in real time. Direct patients to the correct waiting areas.

·       Have a clear understanding of appointment procedures and book appointments in person, via telephone or post.  Ensure the correct patient appointment letter is processed.

·       Check patients waiting times, ensuring appointments are booked within waiting time targets; ensuring patients are not breaching any targets.

·       Support the booking of Radiology appointments that are made outside of the Radiology Appointment Centre, for example Fluoroscopy, Interventional, Isotopes, General X Rays.

·       To arrange patient transport using the online booking system, as required.

·       To arrange interpreters, as and when required.

·       Maintain confidentiality at all times.

·       To remain calm always and to be able to deal with verbal/aggressive abuse from patients/relatives in a professional manner.

·       Participate, as directed in various tasks which support the daily patient flow and operations of the Radiology department.

·       Co-operate in performance improvement activities, as required; embrace any new changes.

·       Display excellent communication skills. Act in a professional manner with sensitivity and discretion both face to face with service users and on the telephone.

·       Distribute incoming post within the Department, and ensure outgoing post is dealt with timely.

·       Ability to work on own initiative and make decisions within written guidelines, sometimes without references to others.

·       Responding to the patient alarm system (on CRIS), as required.

·       To assist the Radiology Admin Manager with training of new staff members and to shadow/mentor them as part of their induction and training programme.

·       To offer advice and support to colleagues.

·       To provide cover for colleagues in the department for sickness, annual leave etc at unexpected/excessively busy times, thereby ensuring the smooth running of the service.

·       To deal with telephone queries both internal and external from our service users whilst exercising judgement, to ensure that all relevant personnel are given the necessary information.

·       A wide knowledge of a range of administration duties, together with an understanding of medical terminology.

·       To operate IT systems to record patient information, maintaining good quality of data and housekeeping duties.

·       Distribution of diagnostic imaging reports to other departments within the Trust and other service users as per guidelines.

·       To highlight any Health and Safety issues to the Radiology Admin Manager.

·       To fill out incident forms when the need arises.

·       Ensure all policies, procedures and Trust regulations are applied as appropriate.

QUALIFICATIONS / TRAINING

Essential criteria
  • Relevant experience to show good English, Maths and communication skills which can be demonstrated on the application form and at interview
  • Good English skills and grammatically correct application
  • Must not have qualifications at level 4 or higher in an admin or customer service related subject
  • Willingness to complete the apprenticeship training
  • Willingness to attend CHFT in-house training
Desirable criteria
  • GSCE English grade 3 -9, (A*-D, or equivalent)
  • GCSE Mathematics grade 3 -9, (A*-D, or equivalent)

KNOWLEDGE, EXPERIENCE & EXPERTISE

  • Familiar with Microsoft office & keyboard skills
