Main duties of the job

As an Administration Assistant, you’ll provide vital support to our therapists and clinical teams, helping ensure children and families receive a smooth, caring, and efficient service. You’ll be the welcoming first point of contact for parents, carers, schools, and — keeping everything running seamlessly behind the scenes.

  • Managing referrals and maintaining accurate patient records

  • Coordinating appointments and supporting clinic schedules

  • Responding to queries from families and professionals with empathy and professionalism

  • Supporting therapists with administrative tasks and service reporting

  • Ensuring confidentiality and data protection standards are upheld

Person specification

Qualifications

Essential criteria
  • GCSE English & Maths required at Grades 9-3 (A*-D) or equivalent practical application and experience which can be demonstrated at interview
Desirable criteria
  • Level 2 qualification e.g. Business & Admin or Customer service
  • Good standard of general education

Experience

Essential criteria
  • Minimum of 12 - 18 months experience in a Customer Service /Office setting
  • Experience of using Microsoft Word and Excel
  • Experience of dealing and communicating with the public
  • Good written and verbal communication skills.
Desirable criteria
  • Experience of using SystmOne or other Electronic Patient record
  • Previous NHS experience
  • Experience of working in a busy office environment

Training

Essential criteria
  • A commitment to ongoing training and development.

Knowledge & expertise

Essential criteria
  • Have an understanding of Confidentiality and Data Protection
  • Email and electronic diary systems.
Desirable criteria
  • Office and Secretarial Procedures
