Job overview

The Payroll Officer is responsible for managing the accurate and timely processing of payroll for a designated group of employees. The role ensures compliance with statutory regulations, organisational policies, and NHS terms and conditions, while delivering a high standard of customer service. The post holder will handle complex payroll queries, maintain payroll systems, and ensure all employee payments, deductions, and records are processed correctly and confidentially.

Main duties of the job

Main Duties

  • Process weekly and monthly payrolls, ensuring employees are paid accurately and on time.
  • Review, validate, and input payroll data, ensuring completeness and compliance with policies and statutory requirements.
  • Manage payroll systems (including ESR), handling data entry, batch validation, and file transfers.
  • Investigate and resolve payroll queries, discrepancies, and complex cases from staff, managers, and stakeholders.
  • Calculate manual payments, statutory entitlements (e.g. sick pay, maternity/paternity pay), and make necessary adjustments.
  • Monitor and correct absence records to ensure accurate payment of occupational and statutory sick pay.
  • Identify and manage overpayments, initiating recovery procedures where required.
  • Provide payroll advice and guidance to employees and managers, including written communication on pay changes.
  • Maintain and administer payroll-related systems such as travel and expenses processes.
  • Ensure all payroll records and personal data are handled securely and confidentially.
  • Record and track queries using service desk systems to support service improvement and trend analysis.
  • Maintain up-to-date knowledge of payroll legislation, NHS terms and conditions, and related systems.
  • Contribute to improving processes and standard operating procedures to enhance efficiency and service delivery.
  • Work independently while ensuring accuracy and compliance, and provide cover for colleagues when required.

  • GCSE including Mathematics and English in Grade C or above or equivalent qualifications
Desirable criteria
  • CIPP Payroll Technician Certificate or equivalent experience

Experience

  • Previous experience working in a payroll environment
  • Previous ESR experience in a payroll or HR environment
Desirable criteria
  • NHS payroll experience
