Job overview

Are you an organised, friendly and efficient person who has secretarial and/or admin experience?

We have a position as a part time Band 3 Administrator/Secretarial to work in our team over 3 days per week including Thursday and Friday.

The post holder will work in a supportive team of approx.  25 Speech and Language Therapy staff and will be based in the Admin Office/Reception in the department, to support your colleagues, the Speech and Language Therapists, patients with speech, language and communication needs, their carers and visitors. 

We are looking for someone who can:

  • Learn quickly to follow complex systems
  • Become an efficient and effective member of the team, and to present a professional and friendly manner to patients and staff. 
  • Concentrate in a shared and busy office with frequent interruptions, with a wide variety of tasks and responsibilities
  • Stay calm when under pressure and respond to requests in an appropriate and timely way. 
  • Be flexible and provide cover for colleagues and to manage the competing demands of the job. (There will be regular and ad hoc days when you are the sole Administrator for the department.)  
  • Show patience and understanding when interacting with people who experience speech, language, or communication challenges.

Main duties of the job

  • To provide efficient and comprehensive administrative and secretarial support to the Speech and Language Therapy Department.
  • To be the first front line contact with patients and visitors to the Speech and Language Therapy Department.
  • To be responsible for dealing with telephone enquiries and messages from patients, SaLTs and other staff from a variety of organisations.
  • To be responsible for ordering all departmental office supplies and therapy equipment/resources.
  • The post holder will be accountable for their actions and need to work independently using their own initiative, and be able to prioritise appropriately when there are competing demands.
  • The post holder will be expected to work as part of the team; this may also include episodes of working as the sole Administrator for the department on some days.

  • GCSE in English Language or equivalent
Desirable criteria
  • GCSE Maths

Qualifications

  • Excellent written English Vocabulary, Spelling, Punctuation
  • Willingness to Learn
  • A confident, professional telephone manner with experience managing calls effectively
Desirable criteria
  • Knowledge of medical terminology
  • Experience of using Lorenzo
  • Experience of using Big Hand & Oracle & other hospital systems

Experience

Essential criteria
  • Previous Secretarial experience
  • Knowledge of office procedures and organisation
  • Computer literacy & comprehensive use of MS Office suite particularly Word, Teams, Excel
  • Fast and accurate copy typing and audio typing
  • Experience of working independently and as part of a team
Desirable criteria
  • Previous NHS secretarial/admin experience
  • Experience of working in an environment with competing demands
  • Experience of communicating with people who have speech, language and communication needs.
