An exciting opportunity has become available for a permanent Band 3 Audiology Coordinator to join our friendly team. 

The post holder will be responsible for providing comprehensive administration support to our staff and patients within a supportive audiology team. We are looking for an individual with good communication skills and an excellent patient care attitude.

Main duties of the job

  • Operationally responsible for the day-to-day delivery of key performance indicators for the Audiology department, in line with divisional and organisational goals and targets, including delivery of national targets like DMO1 (initial diagnostic target).
  • Be responsible for a good experience for all our patients and provide excellent customer service skills at all points of patient engagement.
  • Responsible for the standard and quality of the administration, to include arranging appointments, interpreters as required, cancelling and rebooking clinics, receiving patients attending the department for Audiology or ENT appointments.
  • Use waiting lists and other patient tracking reports to book outpatient appointments in line with the Trust’s Elective Access, Booking and Choice Policy, monitoring booking performance against key performance indicators

Detailed job description and main responsibilities

  • Work with service leads to ensure Referral to Treatment (RTT) and DMO1 performance targets are met, and patients are booked in order of chronology or clinical necessity and in accordance with the Trust’s Elective Access, Booking and Choice of Day policy and departmental Standard Operating Procedures.
  • Check all patient demographics at clinic attendance, updating changes on the Audiology patient administration system (AuditBase) and administering overseas patient payment forms.
  • Perform Audiology reception duties, including telephone calls & answerphone messages, booking patients on arrival, logging hospital transport, booking ENT patients for audios.
  • Ensure all patients attending clinic have a completed outcome entered on AuditBase and Medway as required.

Education

Essential criteria
  • Qualified to Vocational Level 3 or equivalent qualification, or experience in a similar role
  • Ability to meet Level 1 Literacy at selection
  • Ability to meet Level 3 Numeracy at selection
Desirable criteria
  • Professional Health qualification in a relevant field
  • Evidence of continuing professional development
  • Evidence of Health & Safety training

Experience

Essential criteria
  • Proven experience of developing administrative processes, analysing information, and report writing
  • Experience in implementing NHS policies and guidelines relevant to outpatient services
  • Experience and understanding of outpatient services and performance indicators
  • Evidence of significant administrative experience within a customer focused environment
Desirable criteria
  • Experience of team working
  • Experience using AuditBase and Medway PMS
  • Experience of working in an area specialising in healthcare appointment making.
