Senior Operations Analyst

You will be working within the ImmForm Business Operations Team, primarily ensuring the accurate and timely processing of vaccine uptake data for the National Immunisation Programmes, such as for Flu, RSV and MMR.
You’ll be expected to ensure the accurate specifications for the collection of these national immunisation programme data; ensuring the commercial contracts are in place, that the 3rd party suppliers understand the requirements and provide accurate data for each campaign, and that these data are made available on the ImmForm platform for all key stakeholders.
In addition, you be expected to provide project management support to the team, to identify, investigate, and help implement process improvements to the team and you’ll be required to provide data protection advice over the personal data processed by the ImmForm System and Service to the team and other internal stakeholders.
Lastly, you’ll be required to provide support to the rest of the team as well as work closing with ImmForm’s Technical Services’ team to ensure the smooth running of the ImmForm Service and System.

- To lead on collating vaccine uptake specifications, validating and processing the received vaccine uptake data, uploading these data into the ImmForm System and be able to investigate and respond to issues.
- Provide Second Tier support on the ImmForm Digital Platform. Showing relevant subject matter expertise and a detailed level of understanding
- Developing strategies to maximise data quality/data configurations and prevent data entry errors.
- Provide project management support for the process improvement and changes, including the assessment of risks, monitoring and reporting.
- Support the Operation Control Manager with progressing data protection and information security activities for both the ImmForm team and our key stakeholders where ImmForm provides a service.
- Deal and answer all non-clinical calls, providing accurate advice and following up as required, escalating any calls, providing accurate advice, and following up as required, escalating any calls requiring a clinical/specialist response to the appropriate programme team.
- Raise stories and bugs with the technical IT Team as appropriate to manage change requests and new requirements. Complying with records management, quality management and reporting regarding associated legislation and best practice.

ImmForm Business Operations
The ImmForm Business Operations Team is essential in managing the setup, reporting, and strategic planning of vaccines, medical consumables, and vaccine uptake surveys. We ensure the smooth operation of the UKHSA ordering platform, a digital site for ordering vaccines and data collections related to vaccine uptake while maintaining ImmForm business operations.
Our responsibilities include the accurate setup and reporting of vaccines and consumables, crucial for pandemic preparedness and routine immunisations. We develop robust processes and data flows for managing these products, coordinate with UKHSA’s Responsible Person for new or updated medicines, and handle MHRA Product Recalls.
Our strategic planning and business continuity efforts focus on enhancing operational efficiency and achieving business objectives. We maintain and update Business Continuity Plans to adapt to changes and ensure preparedness for future pandemic and incident responses.
We set the strategic direction for product configurations, training materials, and reporting requirements, ensuring accuracy from proof of concept to implementation and support. We also manage vaccine uptake collections, create specifications, and handle data queries.
Our team meets client needs with precise reporting configurations, including national data sets.
We manage role-based access for stakeholders and customers, carry out customer qualification, create accounts, handle changes, receive customer queries, and address customer complaints. We also initiate and enforce policies that align with organisational goals and regulatory requirements.
Our commitment is to ensure the efficient and effective operation of ImmForm Business Services, supporting the organisation’s mission and maintaining high standards of performance and compliance.

This role is being offered as hybrid working based at any of our Core HQ’s. We offer great flexible working opportunities at UKHSA and operate using a hybrid working model where business needs allow. This provides us with greater flexibility about how and where we work, to get the best from our workforce.
As a hybrid worker, you will be expected to spend a minimum of 60% of your contractual working hours (approximately 3 days a week pro rata, (averaged over a month) working at one of UKHSA's core HQ’s (Birmingham, Leeds, Liverpool, and London)
Our core HQ offices are modern and newly refurbished with excellent city centre transport link and benefit from benefit from co-location with other government departments such as the Department for Health and Social Care (DHSC).
