Estates & Facilities Team Support Assistant

JOB PURPOSE
The post holder will provide a comprehensive administration support to the Health and Safety and wider Hard and Soft facilities Estates and Facilities team. This will include being the first point of contact for general enquiries on behalf of the Estates Facilities Management team.

JOB SUMMARY
The post holder will contribute to the efficient running of the Facilities and Health and Safety teams by providing customer and administrative support. Your role will involve helping your team to continuously improve the process of statutory and mandatory risk assessments, reports and training statistics to ensure process is maintained and reported in a timely manner and our estates contractors are up to date with their compliance and training.
The estates team is responsible for the provision of staff parking and you will support the travel plan administrator to continuously improve the delivery of this service.

KEY RESULT AREAS/MAIN DUTIES AND RESPONSIBILITIES:
· Act as a flexible innovative resource to support the Estates & Facilities as well as Health and Safety teams in any aspect of Compliance, Monitoring and Improvement, Risk and Governance.
· Provide a responsive assistant service working closely with the Estates & Facilities Soft and Hard FM teams to ensure Estates and Facilities service delivery is the best it can be
· Support an effective administrative assistance as required to the health and safety and manual handling team ensuring a proactive effective delivery of our client’s statutory and mandatory data collection and record management including coordinating room and all aspects of training management.
· Support any request the Estates & Facilities Manager in monitoring and improving and overseeing Estates and Facilities risk, improvement and governance processes and information reporting systems, ensuring that Healthcare Partners is working to their own and their client’s policies and procedures.
· Develop effective relationships and networks with members of the wider Estates and Facilities teams as well as the relevant building management client teams to establish and share best practice
· Provide, receive, and share routine information with relevant team members and external contacts from both planned and reactive tasks
· Support the review of incident reports and record validation where necessary, ensure appropriate Estates and Facilities team members are notified of outcomes and action is taken, support investigations and the collation of or completion of required reports
· Provide administrative support to financial monitoring and reporting of external contracts by undertaking audits of the invoices presented and ensure compliance with tendered price. This involves using a financial platform used by Healthcare Partners and their client to cover invoices raised by external contractors. Once invoice values are agreed, the post holder will receipt them for timely payment to the contractor
· Support the Hard and Soft Facilities Managers and Communities with the collation of estate maintenance, energy and building data
· Have the ability and commitment to work as a team member in a busy environment and be able to adhere to strict deadlines and offer proactive support .
· Ensure that effective communication both with other departments, all trust staff and external contacts is maintained.

- GCSE Good standard of education or relevant experience
Knowledge

- Experience in Facilities hard and soft administrative support
- Evidence of a commitment to continuous improvement and Continuous Professional Development and Learning
- Must have an understanding of the background to and aims of estates facilities management or a desire for a career in FM hard or soft or Health and Safety ideally in NHS environment.
- Familiarity with software, data entry, accounting, and project management tools are crucial.
- Data Analysis: Ability to input data, analyse for accuracy
- Accounting and Bookkeeping: Understanding of financial records and processes.
