Job overview

The Alcohol Liaison Team are seeking a team administrator to join our small but impactful team at the Royal Surrey NHS Foundation Trust. This presents an exciting opportunity to become part of an established and dedicated professional team covering Monday to Friday at the RSCH site, working across all specialties within the hospital. 
.
•    To provide a full range of administrative & personal assistant service to the Alcohol Liaison Team. 
•    To provide a focal point for communication and exchange of information for the Alcohol Liaison Team.
•    Support collection, recording and analysis of comprehensive activity data set for the service.
•    Administrative support for clinic planning, appointments and bookings.
•    Managing correspondence to patients, GPs and other internal/external service
•    Inputting and updating accurate activity data into a database for the Alcohol Liaison team.
•    Completing quarterly audit reports for internal and external services.
•    Organising and planning regular team meetings, forum – including taking minutes

Detailed job description and main responsibilities

Support Alcohol Liaison Nursing team in provision of hospital alcohol service.
Administrative support for clinic planning, appointments and bookings.
Managing correspondence to patients, GPs and other internal/external service
Responsible for inputting and updating accurate activity data into a database for the Alcohol Liaison team.
Completing quarterly audit reports for internal and external services.
Organising and planning regular team meetings, forum – including taking minutes

Person specification

Qualifications

Essential criteria
  • Certificate OR equivalent level of experience of working in an administrative role
Desirable criteria
  • Course/ qualification in database management/data entry (Excel)
  • Degree RSA III, Medical secretarial qualification (BSMS Certificate) or equivalent

Knowledge

Essential criteria
  • Advanced keyboard and typing skills
  • Working knowledge of Microsoft Office (Word, Excel, Outlook, Access and Powerpoint)
  • Experience of dealing with the general public.
Desirable criteria
  • Prior use of IT systems -Millennium EPR/Dictate IT/Docman
  • Knowledge of NHS priorities and understanding of the guidelines and targets in own area of work
  • Experience of data management and analysis
  • Experience working within in a health/hospital environment, in an administrative role
