Booking Coordinator

Band 3

We have two Band 3 Booking Coordinator roles available for full time and part time. 

Contribute to the effective management of reception, clinic utilisation and associated tasks.

The role requires an ability to prioritise own workload, with some degree of problem solving, following agreed protocols whilst working as part of a larger team under supervision.

Prif ddyletswyddau'r swydd

1.    Negotiate all appointments within Trust and Government targets with patients in a professional and timely manner and cancel and amend appointments as appropriate in accordance with approved guidelines.

2.    Fully understand Key Performance Indicator (KPI) targets in relation to the patient pathway and associated appointments.

3.    Manage the booking of complex referrals autonomously and use own judgement as to when to escalate.

4.    Register all referrals accurately; checking and updating existing registrations using the OH database system to ensure that all information is correct and data compliant.

5.    Ensure that any data quality errors are rectified.

6.    Act as first point of contact for bookings of referrals from the various teams and work to find solutions for securing the earliest appointment.

7.    Understand which appointments need prioritising and ensure they receive a timely appointment.

8.    Manage the cancellation list. Bringing appointments forward if possible and ensuring clinics are fully utilised.

9.    Ensure referrals are actioned within the Trust timescale and if not take appropriate action or escalate to Team Leader.

  • Familiarity with Healthroster/BankStaff systems and understanding of the NHS staffing priorities

  • Ability to work independently and manage workload with minimal supervision
  • High level of accuracy and attention to detail in data entry and documentation
