Job overview

This post is fixed term/secondment until December 2025 to meet the needs of the service.   If you are interested in applying for the secondment position, you must obtain permission from your current line manager prior to applying for this post. 

 

The Catering Co-ordinator will support the Assistant Manager in the delivery of efficient and effective operational services across the Catering Services, provided within the locality. Contributing to the achievement of Statutory Compliance within the area of responsibility.
In conjunction with peers co-ordinates day to day activities of the supervisory team and operational staff within the department. 
This post holder is a key member of the Facilities team and will be required to provide support in the development of service improvements and assist with, or undertake specific tasks/projects as required.

 

Main duties of the job

Required to support the Management Team in ensuring Food Safety Compliance and Verification, Health & Safety Audits and Compliance, Maintenance and Updating ESR staff records, Mandatory & PADR Compliance & Reporting, E-Rostering & identifying efficiencies and cost savings in site rosters, Analyse Back Office System/Datasym for accurate stock control, food costing, income (EFPMS) and identifying further income generation and saving efficiencies.  

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Detailed job description and main responsibilities

Communication and Relationships
To communicate effectively and in a timely manner at all levels of staff 
both internally and externally, selecting the most practical and efficient 
method of communication.
To support the Head of Service, Service Manager and Assistant 
Manager to ensure the maintenance of positive relationships within the 
Catering Team.
Meet regularly with senior staff, peers, and supervisors to ensure 
effective and timely communication regarding continuity of service, 
scheduling and arranging meetings as necessary. 
Be actively involved in management forums and facilitate own team 
meetings in conjunction with peers to ensure service provision.
Deal with difficult people, situations and complaints in a sympathetic and 
professional manner, resolving matters where possible and if necessary 
refer to Assistant Manager.
Deal with routine enquiries in a courteous manner using own initiative.
Deal with routine information in an appropriate manner.
Deal with confidential and sensitive information in an appropriate 
manner, maintaining the strictest confidentiality and discretion at all 
times e.g. confidential staff information. Escalating as necessary 
information of a distressing nature.
Liaise with other services both internally and externally, including 
contractors, maintaining excellent communication and working 
relationships with all members of staff and external representatives in 
line with Health Board policies and procedures.
Report any repair and maintenance matters with regard to the building 
and working environment to the Estates Operational Services whilst 
maintaining records accordingly.
Training and Development
In conjunction with peers provide mentorship, support and advice to all 
staff within area of responsibility. Ensure all staff are given fair and 
equitable access to development opportunities through a range of 
training options and competency based assessments. 
In conjunction with peers prepare for and conduct staff appraisal 
interviews for relevant staff and ensure supervisory team undertake staff 
appraisals for all staff within their area of responsibility. Assess any 
training or development needs and report to the Assistant Manager. 
Assist in the implementation of the training plan.
Participate in the departmental induction and training of new staff 
members and record accordingly.
In conjunction with peers arrange mandatory training and record 
appropriately escalating anticipated non-compliance to Assistant 
Manager.
Develop and maintain own skills and knowledge and contribute to the 
development of the team.
Agree personal objectives with line manager in accordance with KSF 
outline.
Attendance at appropriate training courses as required and 
responsibility for maintaining own personal development portfolio and 
training record.
Ensure own compliance and compliance of the team with regard to 
mandatory training and CPD requirements, maintaining records of 
training and development undertaken by all staff.
Policy and Procedures/Service Development
Assist with the review, maintenance and implementation of policies and 
procedures relating to own area of responsibility.
Comply with BCUHB and departmental Policies and Procedures 
relevant to the area of work and be aware of the impact of such on the 
department and services. 
Propose areas for improvement within the service and assist with the 
implementation of change. 
Planning and Organisational
Assist the Assistant Manager in the co-ordination/management of 
service provision to ensure the delivery of an efficient and effective 
service in accordance with policies, procedures, legislation and statutory 
requirements. 
In conjunction with peers co-ordinates day to day activities of the 
supervisory team and operational staff within the department.
Advise the Assistant Manager on changes in demand or unexpected 
operational issues that will impact on work allocation and priorities.
Support the Assistant Manager to ensure services are delivered against 
objectives, achieving quality outcomes, prioritising own work load and 
working to tight deadlines.
Support the Assistant Manager to ensure adequate staffing levels and 
resources are available to provide a service that meets the needs of the 
service user.
Amend duty rotas and authorise leave, ensuring the provision of cover 
for absence, maintaining appropriate records. 
Schedule and arrange meetings as necessary.
Physical
Operate machinery and/or equipment as required reporting faults as 
necessary to ensure safe use. Ensure faults are rectified or initiate 
alternative methods of work whilst waiting for repair. Record in 
accordance with relevant procedures and escalate faults that cannot be 
rectified in a timely manner.
Patient / Service User Care
Effectively act on concerns reported by team members or service users 
including information highlighted during audits, Performance Appraisal 
and Development Reviews (PADR), on questionnaires, etc.
Assist patients, service users, relatives during incidental contacts
Finance
Place and / or receipt orders, using Oracle or other appropriate ordering 
system, in line with purchasing arrangements and current contracts.
Take receipt of goods and organise appropriate storage ensuring 
records are maintained accordingly in line with relevant procedures.
Where required, ensure the safe handling and security of cash at all 
times in accordance with relevant policies and Standing Financial 
Instructions.
Organise and undertake stock checks as relevant to specific area on a 
regular basis and take action in relation to over or under stock issues 
identified.
Human Resources
Assist with the management and recording of sickness absence, up to 
and including the Informal stage, in line with policy and procedures. 
Assist with the recruitment and selection process, in line with policy and 
procedures.
Support the Assistant Manager to ensure compliance with the Health, 
Safety and Welfare Regulations 1992, in line with policy and procedure.
Monitor the conduct of staff under area of responsibility during the 
course of their duties in line with BCUHB policies and procedures, 
advising staff when their conduct falls outside of expected standards 
and escalating if improvements are not achieved.
In conjunction with peers, investigate issues relating to departmental 
performance and work towards a solution. Report such issues to 
management and advise if a solution is not found.
Prepare reports in relation to performance for management. 
Information and Resources
Use the appropriate system to record staffing information including 
sickness absence, annual leave, PADR dates, and training for staff 
within area of responsibility e.g. ESR.
Regularly use computer software to produce rotas, reports, training 
plans, PADR’s, etc. and to ensure all records are accurate, up to date 
and comply with the Data Protection Act.
Research and Development
The post holder is required to source information on specific issues and 
regularly undertake research to facilitate briefings and/or preparation of 
reports on behalf of the Assistant Manager.
Effectively monitor service quality standards and service user 
satisfaction in liaison with the Assistant Manager using a variety of 
methods including questionnaires, visual checks, undertaking audits 
etc., to ensure service standards are met.
Participate in occasional equipment testing.
Other
Carry out risk assessments as necessary, report and review incidents, 
near misses and hazards using the Datix system.
Ensure all areas of the department are kept clean and tidy in order to 
maintain a safe working environment.
Ensure correct PPE is used at all times and manual handling 
procedures are adhered to, where relevant.
Record lost property in line with the relevant departmental / 
organisational procedures.
Undertake such other duties as may be required from time to time, 
commensurate with the title of the post.
Works autonomously within own area of work, referring to Assistant 
Manager when necessary. 
The post holder will be required to travel between Health Board sites.
