Job overview
To provide a high quality secretarial service to the Site whilst operating efficiently and effectively, providing proactive administrative support inclusive of ensuring the accuracy of the co-ordination of the Clinical Director, Lead Manager and Matron’s diary.
Directorate and North Wales meeting are to be fully co-ordinated, inclusive of room bookings, compilation of agendas and transcribing of formal minutes.
Also providing an effective secretarial service and support to all senior managers within the West area of the Women’s Directorate including the Clinical Director, Consultant Midwife, Lead Manager, Inpatient Manager and the General Manager.
Main duties of the job
- To provide assistance in answering the telephone calls for the General Manager, Lead Manager and Inpatient Matron in their absence. To take messages or alternatively escalate or co-ordinate any matters arising as appropriate for the recipient.
- Liaise with all BCU staff as necessary to organise security access to their D badge.
- To have an up to date knowledge and understanding of the issues and responsibilities associated with the role of the Senior Managers.
- Scheduling and arranging meetings, inviting attendees and arranging suitable meeting venues and refreshments if necessary.
- Managing the Clinical Director, Lead Manager and Matron’s electronic diary, including making appointments, booking meetings, sending apologies and revisions as per prioritisation.
- Ensuring the Lead Manager and Matron’s is fully prepared with required documentation prior to meetings.
- Liaise regularly with the Senior Managers to discuss scheduled appointments and ascertain requirements for the week.
- Managing a bring-forward appointment system.
The ability to speak Welsh is essential for this post.

- Typewriting/Word Processing qualification - RSA III or equivalent
- Good level of education

- NVQ Business Administration Lefel 2 or equivalent
