Job overview

The post-holder will provide an efficient and comprehensive administrative and secretarial service to the Deputy Head of Community Nursing and Locality Matrons within the Arfon and Anglesey; Under the guidance of the Locality Administrator, they must be flexible and able to work as part of a team.  All duties must be carried out in accordance with Departmental and Health Board Policy.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome.

Main duties of the job

To undertake all clerical, secretarial and word processing duties normally associated with correspondence, reports and other similar documentation, for the Locality Matron.

Work unsupervised with the freedom to act for the majority of the time using own initiative to prioritise and complete tasks.

Provide accurate & timely information as requested by the Locality Matron, Administrator & Area Management team.

Responsible for the co-ordination of meetings as required; and take all necessary supportive actions for such meetings including formal minute taking and distribution.

Provide secretarial support to other nursing staff for duties approved by the Locality Matron when required, on an ad-hoc basis.

Where appropriate, respond to telephone calls, e-mails, incoming mail and other general enquiries to resolve issues and offer advice using own initiative, ensuring the Locality Matron is made fully aware of outcomes. 

Undertake personnel related duties in respect of calculating & recording annual leave entitlement.

Qualifications

Essential criteria
  • Good General Standard of Education (e.g. GSCE Maths and English A-C and above or equivalent.
  • NVQ level 3 or equivalent knowledge and experience. Required to undertake this qualification.
  • I.T. Qualification or proven experience using Microsoft Office Packages
Desirable criteria
  • Statutory Mandatory Training as per Health Board Policy
  • Understanding of basic Medical Terminology

Experience

Essential criteria
  • Experience of working in an acute hospital/GP practice or Call Centre/Customer Focussed environment
  • Experience dealing with the general public
  • Ability to work as part of a team
Desirable criteria
  • Experience of working directly with clinical/consultant staff
  • Previous Waiting List Management experience

Skills including those physical skills necessary for the post.

Essential criteria
  • Excellent communication skills both written, verbal & telephone
  • Excellent interpersonal skills in order to deal with clinicians, senior managers and clerical staff
  • Appreciate the needs of patients, carers and health care professionals.
  • Ability to react to unpredictable issues, re-prioritising own workload if necessary
  • Good keyboard skills for regular use of computer systems /IT skills
  • Frequent and prolonged use of telephones
  • Able to concentrate on Administrative duties in an unpredictable environment, ability to manage work with constant interruptions from patients, medical staff and external agencies.

  • Competent in the use of Microsoft office
  • Competent in the use of the Patient Administration System or similar PAS systems
  • Ability to speak Welsh

Knowledge

Essential criteria
  • Familiarity with waiting list administrative procedures and policy issues
  • Knowledge of or other patient administration systems or experience using data bases and excel to sort and filter data fields
  • Knowledge of Data Protection
Desirable criteria
  • Understanding of basic medical terminology
  • Knowledge of Caldicott guidelines
