We are a partnership of 10 north central London NHS trusts whose purpose is to deliver high quality and better value shared NHS corporate services at scale.

Launched on 1 December 2021 with transactional recruitment services, our experienced and knowledgeable team help staff across our network to access the information, systems and processes they need quickly and seamlessly, allowing staff to focus on the frontline and enabling the best use of NHS resources.

The NLPSS board is made up of executive-level representatives from each trust in the partnership who agree on an annual business plan which is executed by the managing director. Within this structure, individual services are accountable to the managing director, who reports to the board.

NLPSS is hosted by The Royal Free London NHS Foundation Trust, acting as the legal entity, contracting authority and main employer of staff.

Job overview

The post holder will be expected to work as part of the OH administrative team, which is responsible for the effective operational running of the administration teams at all sites where the service operates. 

Main duties of the job

The post holder will provide a high quality, responsive, streamlined service to managers, employees, prospective candidates and all other service users accessing the service: such duties include:

• Data Entry (Both numeric and non-numeric) into various systems

• Ensuring that users of the service are provided an accurate and quality service.

• Ensuring that all administrative KPI’s are adhered to. 

• Working within the policies and procedures; ensuring that audit requirements are met at all times 

• Appropriate application of data protection rules.

• Assisting the occupational health and wellbeing service by delivering comprehensive administration support where needed.

• Assisting with the triaging and resolution of queries calls received through the agreed communication channels

The post-holder will use various systems including Opas Civica G2 Occupational health management system and a call system to ensure that all communications are recorded and dealt with in timely manner.

Essential criteria
  • Educated to A level or equivalent experience

Experience

Essential criteria
  • Relevant and significant clerical/ administrative experience in a busy environment
  • Experience of working within in a team
  • Knowledge of employment legislation.
Desirable criteria
  • Experience of working in a customer focused environment
  • Experience of managing a varied workload, often under pressure
  • Experience of working within an NHS organisation or public sector

Skills

Essential criteria
  • Demonstrates excellent customer service skills
  • Computer literate and experienced using all MS Office packages including but not limited to word, excel, and Microsoft Teams
  • Demonstrates understanding of the confidential nature of working in OH
  • Demonstrate the skills to continually improve the service
  • Attention to detail – ability to identify where inconsistency or inappropriate data has been entered
Desirable criteria
  • High level of organisation skills and ability to manage allocation of workload across individuals and sites – manage potential risks
