Job overview
The post holder will be required to provide a comprehensive, confidential and high-level secretarial support service to the DME and senior administrative support for Medical and Dental Education activities.
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.
Main duties of the job
This will require co-ordinating work throughout the offices of the Medical Director and education teams and ensuring the aims and objectives of the organisation are met efficiently and effectively. This will be achieved through the implementation and development of office systems and complex processes including developing appropriate administrative policies as required.
The post holder is expected to support the administrative function of Pan BCUHB Medical Education activities, including working on promotional and digital initiatives and servicing strategic committees.
Excellent organisational skills, excellent judgement, digital literacy, diplomacy and tact are essential attributes required in this role.

Qualification and Knowledge
Essential criteria
- Degree or equivalent level of experience / willingness to obtain
- NVQ 3 or RSA in typing
- ECDL or equivalent
- In-depth and detailed knowledge of administrative systems, procedures, and corporate policies.
- Knowledge of Data Protection legislation.
- Ability to take comprehensive minutes
- In-depth and detailed knowledge and understanding of secretarial procedures, the structure, policies, plans, regulations, management and operational procedures of the Organisation
- Evidence of commitment to ongoing professional development
Desirable criteria
- Advanced ECDL qualification.
- Audio typing
- Willingness to undertake training and development as necessary
- Knowledge of medical terminology
- Knowledge of the structure and function of the NHS
Experience
Essential criteria
- Experience of working in a complex organisation providing comprehensive administrative/PA/diary management service within a corporate team
- Experience of setting up and using IT/File systems in a large organisation
- Familiar with office procedures and deadlines
- Experience in using online design and content platforms
- Experience of producing graphs and statistics
Desirable criteria
- Experience working in the NHS in an admin/PA role
- Experience in dealing with complex issues involving forward planning
- Understanding of NHS procedures and systems
- Budget management experience

- Proficiency in Microsoft packages (e.g., Word /Excel/PowerPoint/Outlook)
