We’re looking for a detail-oriented and compassionate individual to join our Audiology service at Luton. This vital role involves accurate data entry across multiple clinical systems, maintaining both electronic and manual patient records, and ensuring timely processing of hospital documentation. You’ll help create a safe, welcoming environment for families, using a sensitive approach in all communications.

The successful candidate will have excellent IT and literacy skills, operational flexibility, and a keen eye for detail. You’ll be trained on systems such as Auditbase, iPM, and Evolve, and will play a key role in supporting the Audiology clinical team. Responsibilities include welcoming our Audiology patients into the Department, ensuring their details are up to date and taking care of any other requests or support they may need for their appointment.

Main duties of the job

To provide reception support to our Audiology service on the Luton and Dunstable site, ensuring patients are checked in and ready for their clinical appointment.

To work with the clerical team, ensuring that any required outpatient appointments or referrals are made and sent to patients

To review and update forms, both digitally and manually

To prepare any paperwork for clinical appointments

To ensure that information leaflets are available for patients and families.

To welcome Audiology visitors, directing them as appropriate to the designated person.

Escalate any concerns or uncertainty promptly to the Audiology Clinical Lead

To support the clinical team in caring for families with sensitivity and respect.

To communicate effectively (verbal, written and electronic) with the multi-disciplinary team and families.

To answer the telephone and respond to enquiries for information in accordance with the Data Protection Act. To escalate any concerns or uncertainty promptly to the Clinical Manager.

To participate in yearly appraisal to review own performance, the attainment of service objectives and seek opportunities to further enhance skills and knowledge.

Detailed job description and main responsibilities

1.      To receive and book patients in for their appointments.

2.      To inform relevant clinicians when patients have arrived.

3.      To make any new and follow up appointments as necessary. 

 

4.      To ensure staff are aware when patients have been waiting for more than 30 minutes.

 

5.      Overall oversight of each day’s schedule to include creative solutions to maximise capacity and maintain patient throughput (e.g. management of additional patients, late arrivals, staff sickness rescheduling and liaison with the Ear, Nose and Throat department to maintain ENT flow).

6.      To ensure all clinics are properly ‘cashed up’ on the Patient Management System.

7.      To deal with any cancellations or DNAs according to the clinician’s instructions.

8.      To ensure all case notes are available for the clinics and contain sufficient identification labels.

9.      To answer all telephone calls in a courteous, pleasant and timely manner and ensure that messages are passed on appropriately.

 

10.   To monitor the department email and respond to queries in a timely manner.

 

11.   To take bookings for outreach clinics on behalf of the Bedfordshire Hearing Advisory Service.

12.    To provide cover for other reception staff during times of annual leave and sickness, working all day when necessary, sometimes at very short notice.

 

13.   Responsibility for the waiting area, to include an over view of patient flow, patient safety and maintaining the standard of the patient environment. 

 

14.   Responsibility for Health & Safety issues associated with the Reception area including undertaking the Receptionist-assigned roles defined in the department's Fire Procedure, other Emergency responses (Major Incident and Lock-down), and the Receptionist-assigned response to the department's Room Alarm system.

 

15.   To manage transport patient pathways including liaison with our transport provider.

16.   To coordinate any maintenance requests.

17.   To issue replacement batteries to Audiology’s hearing aid users.

 

18.    To undertake basic maintenance to hearing aids.

 

19.   Any other ad hoc duties requested by the Head of Service.

 

Person specification

Qualifications

Essential criteria
  • GCSE English or equivalent
  • Good IT knowledge for data entry, use of word processing, spread-sheet, e-mail and the internet.
  • Good understanding of working practices in a hospital
Desirable criteria
  • Evidence of further education and training, including word processing and spread-sheet

Communication Skills

Essential criteria
  • Good written and verbal communication skills
  • Experience in electronic communication (e-mail) and use of the internet

Experience
