Job overview
The post holder will provide a comprehensive, high quality administrative service to the Weight Management Service (WMS). The WMS is a Health Board wide service which supports people across the lifespan to manage their weight from children and young people to adults.
The post holder will lead the planning and co-ordination of clinics and group interventions, and will undertake a range of secretarial duties and other administrative tasks as required by the service.
They will delegate administrative tasks to, and oversee weight management administrative work undertaken by other admin and clerical staff in the team.
Main duties of the job
The post-holder will:
Be an integral member of the Health Board wide WMS service providing administrative expertise, support and advice to ensure the efficient and effective delivery of WMS clinics and programmes; including the use of digital platforms, running of multi-disciplinary clinics, and patient group interventions.
Undertake a range of secretarial duties to support the WMS leadership and service delivery; maintaining action logs from key WMS meetings, supporting with the production of reports, co-ordinating and planning service-related meetings, informing key WMS documents and taking responsibility for service correspondence and written communications as required.
Inform the monitoring and evaluation of the Weight Management Service including waiting times, demand and capacity, and supporting service development and quality improvement.
Act as a key point of contact for the WMS with service users, colleagues from across the Health Board and other agencies; communicating
and co-ordinating links between the WMS and others.

- 47 general practices (six of which are health board managed practices); dental practices (including four orthodontic); 99 community pharmacies; 43 general ophthalmic practices; and 8 ophthalmic domiciliary providers

Qualifications and knowledge
Essential criteria
- RSA/OCR Level 3 or equivalent demonstrable experience
- Knowledge of Medical / Healthcare Terminology
- Demonstrable knowledge and understanding of the role of administration in a health-related service
- Knowledge of working to policy and procedure in administration including Information Governance
Desirable criteria
- NVQ level 3 in business / administration or equivalent qualification
Experience
Essential criteria
- Experience of undertaking a full range of administrative duties in a healthcare related service
- Extensive experience of liaising and communicating with the general public, medical practitioners and partners
- Extensive experience of: • using IT packages including Microsoft Office • setting up spreadsheets & databases • clinic booking systems
- Experience of delegating tasks to junior administration staff
- Experience of effectively coordinating and prioritising competing work demands
Desirable criteria
- Experience of setting up administrative processes for multi-disciplinary services
- Use of IT systems to support evaluation
- Experience of service development / improvement

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
