Job overview

The post holder will provide a comprehensive, quality, confidential administration service in support of the Assistant Service Manager/Service Manager.  Key requirements of the post are to co-ordinate and troubleshoot the Medical clinical rota ensuring that staffing levels are responsive to and reflective of the needs of the service.  

The  Rota Co-ordinator will be expected to organise their workload and prioritise their activities to ensure that an efficient service is provided.  It is essential that the post holder is able to exercise initiative suitable to the role and is fully supportive to other colleagues in the administrative team

The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organisational and communication skills with proficiency in Excel.  

This is a challenging role and the successful applicant will need to demonstrate the ability and flexibility to manage conflicting priorities.

Main duties of the job

To provide full rota management for the medical on-call rota and ward allocations, to ensure that an effective service is provided and that wards have the correct allocation of consultants and resident doctors. 

The post holder will be responsible for the approval of Resident Doctors annual leave, study leave, and sickness leave and will maintain an effective database to monitor leave and absence in line with Trust Policy and local guidelines.

Actioning both telephone, email and face to face enquiries from medical staff. 

Working in conjunction with Medical Resourcing team to produce the new rotas for each rotation of medical staff.

Detailed job description and main responsibilities

The post holder will provide a comprehensive, quality, confidential administration service to the Division. 

Maintain constructive relationships with others, within and across Divisions and externally in order to improve the effectiveness and efficiency of the rotas.

 Be fully conversant with all required electronic systems for rota management, including DRS, Rota Watch, Patchwork etc.
