Job overview

The role involves providing support to the Gastroenterology Specialist Nursing Team Secretaries and Gastroenterology Specialist Nurses across UHD.

It involves providing an efficient telephone service and assisting the patients and Specialist Nurses with any queries, sending out necessary tests to patients for their appointments in a timely fashion, managing virtual clinics, and recording adhoc telephone consultations on PAS systems.

Base location: UHD - Royal Bournemouth Hospital with one day at Poole if required

Main duties of the job

To succeed in this role you will need to possess good communication skills and have a passion to deliver outstanding service to our patients. 

Attention to detail and multi tasking is a must as well as a calm and caring attitude and the ability to work well on your own and within a team.

Some NHS experience would be good but full training will be given.  

Working for our organisation

UHD are investing, developing and transforming Trust services in line with the New Hospital Programme. As part of this, some services may move site this year or next, either temporarily or permanently. Recruiting Managers will be happy to answer any service-specific questions at interview.

If a role or service relocates as part of a planned move, excess mileage will not be reimbursed. Travel from home to the new work base will be classed as a normal commute. Any other changes will be managed under Trust or national terms and conditions.

Detailed job description and main responsibilities

  • To fully support the secretaries and specialist nurses in their role and to help cover during sickness and annual leave.
  • Look up, sort and file patients’ results.
  • Use the hospital computer system to access patient details. CRT must be always used when receiving and moving notes. This is mandatory within the Trust.  
  • Photocopying, faxing, scanning and general filing.
  • Be responsible for out-going post, meeting afternoon deadline.
  • To answer specialist nurse and secretaries’ telephones and take messages when required.
  • To maintain helpdesk spreadsheets.
  • To maintain virtual clinics, attending, inputting outcomes and generating follow up’s as directed by the SPN’s.
  • To record adhoc telephone attendances. 
  • Scan all new Choose & Book referrals. 
  • Typing clinic/additional letters to GP’s, patients and other Allied Health Professionals, using digital dictation when appropriate. 
  • Assisting SPN Secretaries with admin duties.

  • Vocational level 3 in relevant field or equivalent experience
