We are looking for a Donations Processing Assistant to join our busy and dedicated Fundraising team for a 12-month fixed-term contract.

Previous cash handling experience is a bonus, but not essential.

Working Arrangements:

This is predominantly an office-based role at our Fair Havens location, next to Priory Park in Southend.

Main duties of the job

In this vital role, you’ll be responsible for processing all incoming donations across multiple channels, ensuring accurate and timely data entry into our CRM system (Raiser’s Edge), and maintaining smooth donor journeys.

From handling cash and cheques to managing digital donations and supporting the wider Fundraising team, your contribution will help ensure that every donation counts.

Detailed job description and main responsibilities

  • To open and distribute any fundraising related post in the cash office
  • To process all cash and cheques using the Cash-in-Transit digital safe and counting machine
  • To open and process all buckets and tins keeping accurate records of income and producing batches for processing by other Donations Processing Administration staff
  • To scan donation forms to Fundraising Administrators in a timely fashion
  • To scan and inform data protection of any incoming requests for information regarding the company or patients
  • To process all hard copy donations to Raisers Edge, accurately coding and scanning any important donor information to that record, archiving all hard copies
  • To process all online and platform-based donations
  • To process all In-Memory batches with accurate linking to funeral directors, donors, and the deceased
  • To inform the Memory/ Legacy fundraisers of any developments or incoming money
  • To work with the Raisers Edge Consultant to find new and easier ways of mass importing and be open and willing to work with any changes given
  • To claim all Gift Aid donations via the HMRC/Raisers Edge platform

Knowledge and Experience

Essential criteria
  • Accurate record keeping skills
  • Good standard of IT skills and experience of using Microsoft Office, databases, other relevant software and systems, and the internet to an intermediate level
  • Ability to update and maintain records, databases, and other systems accurately and efficiently.
  • Ability to prioritise and plan own workload to meet deadlines.
