Job overview

We are looking for a motivated individual with excellent communication, interpersonal and organisational skills who is dedicated to working as part of our friendly team.

You will work within the team in the Orthotics Appliance Office to provide a smooth running clinic and Orthotics service to patients. This includes undertaking various administration tasks and purchasing goods from suppliers through hospital ordering systems.

Main duties of the job

To undertake various administration tasks such as handling post, answering the telephone to patients and staff, booking/cancelling appointments through Medway, preparing clinics ensuring all goods have been received and are put together for the Orthotist’s clinic each day, process/purchase/rotate stock or goods that have arrived or are needed for patients to either collect or have fitted in clinic, process orders from clinic, scanning documents onto CED.

Raising and generating purchase order numbers with regard to Orthotic suppliers through the system.

Process patient/staff enquiries either through face to face contact when patients collect goods or arrive for clinic appointments, via the telephone or via email.

Direct liaison with the Orthotist regarding patients, referrals, order queries, clinic queries etc. and process orders from clinic ensuring items are purchased with more than enough time for the patients next appointment.

Direct liaison with the supplier chasing missing orders, outstanding purchase order numbers, raising concerns regarding damaged goods etc. where necessary.

Direct liaison with MSK management to raise any queries or concerns where necessary.

Attend all departmental or team meetings.

Qualifications

Essential criteria
  • 5 GCSE's Grade A*-C including English and Maths
  • Competent in Microsoft Office tools
Desirable criteria
  • NVQ1 – Business Administration
  • ECDL
  • Medway, CED, EROS (in house training provided)
  • Understanding of Medical Terminology

Experience
