Main duties of the job

To receive and despatch health records from the Health Records Libraries and Transit areas to collect, despatch or distribute patient case notes to deliver to areas at Medway NHS Trust and off-site locations.

To deal with queries relating to the availability of the patient case notes for outpatients and admissions 48 hours prior to the appointment date.

In conjunction with colleagues in both Health Records Library and the Patient Service Centre coordinate searches for missing notes with the aim of finding and delivering these to the correct location as soon as they are found.

Detailed job description and main responsibilities

To be responsible for maintaining the Health Records Library and transit area in good order by moving notes or tidying case note shelving under instruction from the relevant Team Leader or Manager.

To be responsible for pulling case notes for clinic, admissions and audit and request lists and following requests by telephone, tracking records to the appropriate location and completing the appropriate log sheets.

To be the first point of contact for missing notes, tracked to the Health Records Library, on the day or the day prior to a patient’s attendance, escalating any problems immediately to the Library Supervisor / Team Leader.

  • Good General Education to O’ Level or equivalent

Knowledge

  • Must understand and comply with Data Protection Act and maintain confidentiality at all times
  • Must be interested in providing a quality service to support good patient care and experience

Experience

  • Has the ability to adapt to challenging and changing situations/demands and able to support colleagues through stressful situations, including flexibility to provide cover
  • Admin / office experience · Must be interested in providing a quality service to support excellent patient care and experience

  • Good communication skills – written and verbal

  • Computer literate, in particular use of MS windows and Outlook
