Job overview

To provide clerical and administrative support to the medical and secretarial team within Paediatrics.  The role requires competency in general admin, keyboard skills, good communication and an ability to work well within a team.  An ability to understand the need for and to maintain confidentiality is essential.

Main duties of the job

1.    Transcription and production from winscribe of dictated documents which may include outpatient reports, discharge summaries and other relevant clinical and non-clinical correspondence.  

2.    Process case notes for patients seen in clinic, track into relevant office or back to file using relevant systems, ie Cerner. 

3.    Receive telephone messages on behalf of secretary and disseminate relevant information to them following department procedures when necessary. 

4.    Open and prioritise correspondence (which is often highly sensitive and of a confidential nature) on behalf of secretaries ensuring that urgent correspondence received is highlighted to them. 

5.    Liaising with other departments within the Trust and outside agencies, ie: medical records, outpatient clinic, school nurses, health visitors, GP’s, etc. 

6.    Distribution of typed clinic letters and other relevant correspondence to other health professionals within the Trust/outlying district. 

7.    Use of photocopier and e mail when necessary. 

8.    Maintain efficient office systems and ensure filing is up to date where required. 

9.    Ensure effective communication with all work colleagues, patients and visitors.

1Responsible for safe use of, and basic maintenance of office equipment/machinery. 

 3.  General Administrative duties/cross cover for team members where appropriate.

Essential

Essential criteria
  • GCSE English Grade C or above or equivalent
  • • Working knowledge of basic IT systems – word, excel, emails
  • • RSA/OCR Stage II Typewriting or Word Processing Stage II or Audio typewriting Stage II or Proven ability of an equivalent level of skill
  • • Previous administrative/typing experience • Ability to accurately input information as given.
  • • Ability to work as part of a team and be supportive to other team members
Desirable criteria
  • • Ability to understand, absorb and comply with detailed procedures
  • • ECDL or relevant
