Job overview

We at Synnovis are seeking a highly organised and proactive Senior Administrator to join our Blood Sciences Laboratory at our Blackfriars Hub.

This pivotal role ensures the smooth day-to-day running of administrative services across a high-volume, time-critical diagnostic environment. You will manage administrative systems and resources within the department, supporting operational delivery across haematology, coagulation, blood transfusion and biochemistry services.

Key responsibilities include overseeing recruitment administration, onboarding and inductions, rota and shift amendments, timesheets and pay claims, sickness tracking, training compliance and diary management. You will raise purchase orders, coordinate with procurement and estates teams, manage off-site record storage, and support calibration scheduling and quality documentation, including HCPC and UKAS inspection administration.

Acting as a key point of contact for internal and external stakeholders, you will ensure clear communication between laboratory teams, customer services and clinical leads. You will monitor shared inboxes, maintain laboratory databases, support meetings and governance processes, and contribute to continuous improvement of administrative systems.

We are looking for an experienced administrator with excellent organisational skills, strong attention to detail and the ability to prioritise effectively in a fast-paced healthcare setting. You will work independently, using initiative while recognising when escalation is required, always supporting safe, high-quality patient care.

Main duties of the job

The Blood Sciences Laboratory at Blackfriars Hub is a large, 24/7, UKAS-accredited service delivering high-volume diagnostics across haematology, coagulation, blood transfusion and clinical biochemistry. With extensive automation and advanced analytical platforms, we support acute, specialist and community pathways through a broad and complex test repertoire.

This Senior Administrator role sits within Blood Sciences, and applicants should demonstrate relevant experience within a healthcare or regulated environment.

Key aspects of the role include:

  • Leading and coordinating the administrative function across multiple specialist sections
  • Supporting a large multidisciplinary team of biomedical scientists, clinical scientists and operational leaders
  • Managing recruitment administration, onboarding, rota amendments, timesheets and sickness monitoring
  • Overseeing training compliance, governance documentation and inspection readiness (UKAS and HCPC)
  • Raising purchase orders, coordinating with procurement and estates, and supporting service contracts and calibrations
  • Acting as a central liaison between laboratory teams and corporate services including HR and finance
  • Contributing to continuous improvement and development of robust administrative processes

At Synnovis, we are currently shaping the future of pathology services by creating a world-leading Hub and Spoke pathology network with our NHS partners. A large part of this modernisation involves moving 70% of our services to a purpose-built, state-of-the-art Hub laboratory in the heart of London.

The post will be chiefly based at the Synnovis hub in Blackfriars but the post holder may be required to travel to our hospital sites. Some element of flexible/remote working will also be considered.

 

Purpose of the Job

The Senior Administrator – Blood Sciences is responsible for leading and coordinating the full administrative function within a large, 24/7, UKAS-accredited laboratory service.

The role ensures robust administrative systems are in place to support safe, efficient and compliant delivery of high-volume diagnostics across haematology, coagulation, blood transfusion and clinical biochemistry.

Working closely with the Operational Service Lead, clinical leads and multidisciplinary laboratory teams, the postholder will provide operational, governance and workforce administration support that underpins patient safety and service excellence.

 

What You Will Do

You will hold a broad range of accountabilities within the Blood Sciences service, including but not limited to:

  • Managing all administrative systems and processes to ensure smooth day-to-day departmental operations
  • Supporting workforce administration including recruitment, onboarding, rotas, timesheets, absence management, training compliance and wellbeing processes
  • Acting as a central point of contact between laboratory teams and corporate services such as HR, procurement, finance and estates
  • Supporting quality management systems including document control, calibration tracking, asset management and inspection readiness (UKAS/HCPC)
  • Managing service inboxes, shared electronic folders and laboratory databases to ensure data accuracy and governance compliance
  • Coordinating meetings, preparing agendas, taking minutes and tracking agreed actions
  • Raising purchase orders, obtaining quotes and liaising with suppliers
  • Supporting inspection preparation and administration for regulatory and accreditation visits
  • Identifying and implementing improvements to administrative processes

You will work independently, prioritising competing demands in a fast-paced diagnostic environment, escalating to the Operational Service Lead or Clinical Lead Consultants where appropriate.

Key Responsibilities

  • Provide a high-quality, comprehensive administrative service in line with Synnovis policies and governance standards
  • Facilitate effective day-to-day office management and maintain efficient administrative systems
  • Maintain and update laboratory databases ensuring data integrity and confidentiality
  • Coordinate staff induction processes, including access, facilities orientation and IT setup
  • Support rota coordination and shift amendments across multiple specialist sections
  • Monitor sickness, training compliance and workforce data reporting
  • Manage procurement processes and liaise with procurement and estates teams regarding laboratory requirements
  • Coordinate calibration schedules and maintain associated documentation
  • Support management of off-site records storage
  • Contribute to service development initiatives and continuous improvement projects
