Job overview

DN Administrator

The post holder will provide administrative support to the community nursing  team and act as a focal point for communication between the nursing staff, patients, referrers into the service and the multi-disciplinary team. Work independently but under the direction and guidance of the Senior Administration Manager. He/she will work in partnership with all members of the community nursing teams to ensure that patients receive an appropriate, efficient comprehensive service.

Main duties of the job

  1. To provide clerical support to the Community District Nursing staff.
  2. To provide and receive routine information, informing team members, patients, internal departments and external agencies as relevant.
  3. Deal appropriately and promptly with urgent messages and emails.
  4. Maintenance of records, both paper and computerised systems.
  5. To be responsible for inputting and updating computerised nursing caseloads.
  6. To take accurate messages including those on answer phones, exchanging information with relevant parties both verbally and in writing.
  7. To be responsible for maintaining accurate up to date filing systems.
  8. To book and upload shifts for agency and bank staff on optima as and when directed by the Cluster Matron.
  9. To minute take e.g. at team meetings and case conferences, type reports and letters and be responsible for distribution where relevant.
  10. Enter data onto and retrieve information and reports from computerised system.
  11. Undertake photocopying and scanning.
  12. Work in partnership with the community nursing teams to initiate and evaluate office working systems and implement agreed improvements.

Essential criteria
  • GCSE or NVQ 3 in Administration
  • Must be able to speak, read and write english

Experience

  • Previous Office environment experience in a clerical or secretarial role
  • Experience of office equipment
  • Experience of working as part of a team and on own

  • Previous experience of dealing with the public in an NHS environment
