Job overview

This is an exciting opportunity to join The Hillingdon Hospitals NHS Foundation Trust at a pivotal time as we transform and modernise our Estates Maintenance service.

As part of a major Estates Maintenance restructure, we are seeking an experienced and highly organised Estates Maintenance CAFM & Asset Lead to take operational ownership of the Trust's Computer Aided Facilities Management (CAFM) system and Estates asset management function across Hillingdon Hospital and Mount Vernon Hospital.

Reporting to the Estates Maintenance Operations Manager, you will lead the administration, development and continuous improvement of the Estates CAFM system, ensuring the integrity of maintenance records, statutory compliance information, asset registers and operational performance data. You will also provide direct line management to the Estates Maintenance Helpdesk Coordinator and Estates Maintenance Stores & Logistics Coordinator, supporting the delivery of a modern, efficient and digitally enabled Estates Maintenance service.

This newly created permanent post forms a key part of the Trust's Estates Maintenance restructure and will play a significant role in supporting the Trust's New Hospital Redevelopment Programme, digital transformation strategy and long-term asset management objectives.

Main duties of the job

The successful candidate will be responsible for:

  • Leading the day-to-day administration, governance and continuous development of the Trust's Estates CAFM system.
  • Managing Estates asset registers, electronic asset tagging, lifecycle information and asset data quality.
  • Producing operational performance dashboards, management reports and KPI information to support decision making.
  • Coordinating Planned Preventative Maintenance (PPM), reactive maintenance records and statutory maintenance documentation.
  • Supporting contractor management through monitoring performance information, compliance records and operational reporting.
  • Supporting compliance assurance, audit readiness and governance reporting.
  • Managing operational documentation, digital records and maintenance information to ensure accuracy and audit compliance.
  • Providing direct line management to the Estates Maintenance Helpdesk Coordinator and Estates Maintenance Stores & Logistics Coordinator.
  • Supporting implementation of the Estates Maintenance restructure and ongoing digital transformation initiatives.
  • Working collaboratively with Estates operational managers, contractors and wider Trust stakeholders to improve operational performance and service delivery.
  • Supporting the Trust's New Hospital Redevelopment Programme through CAFM integration, asset onboarding and digital asset management activities.

Essential criteria
  • Relevant qualification in Business Administration, Facilities Management, Estates Management, Engineering Administration, Asset Management or equivalent experience
  • Evidence of continued professional development relevant to CAFM systems, Estates administration or asset management
  • Experience of working with CAFM systems or maintenance management systems
  • Experience of maintaining asset registers, operational records or maintenance databases
  • Experience of administrative support within an Estates, Facilities or engineering environment
  • Good understanding of CAFM systems and maintenance administration processes
  • Strong IT skills including Microsoft Office applications and database systems
Desirable criteria
  • Relevant CAFM system training or qualification
  • Relevant Supervisory or Management training
