An exciting opportunity has arisen for a Receipt & Distribution Centre Co-Ordinator to join our Procurement Team on a permanent, part time basis!

The role involves working as part of the Receipt & Distribution Centre Team at Whiston Hospital.

This role is to help assist in the recording and distribution of goods delivered to the Trust.

The vacancy is for 7.5 hours per week - equivalent to 1 day.  Due to vacancies in the department, we would look for the successful candidate to work across Monday and Friday in an hourly split to be agreed.

The JD & PS are currently under AfC review and are subject to change

Main duties of the job

  • Checking all orders that are delivered to ensure they are in suitable condition
  • Recording the delivery and ensuring they are distributed efficiently and correctly utilising systems.
  • To co-ordinate the receipt of goods, including the recording of receipts onto an electronic receipting system and preparation of paperwork for delivery of goods to point of use.

Detailed job description and main responsibilities

KEY DUTIES 

  • The post holder will be expected to perform a range of duties within defined procedures including the provision of information from records or computer systems using office machines as appropriate.
  • The post holder will be subject to periodic supervised advice and support will be immediately available from a manager should it be required.
  • Responsible for the satisfactory receipt of goods into the R.D.C.
  • Responsible for providing a customer focused service to wards and departments who have any queries relating to receipt and distribution of goods. 

ADMINISTRATIVE RESPONSIBILITIES 

  • The post holder will be responsible for the receipt of goods into the R.D.C from suppliers
  • Responsible for identifying any damage and reporting such damage to the appropriate buyer.
  • Carrying out detailed checks to ensure that the goods correspond with what has been ordered.  Reporting any discrepancies to purchasing staff or NHS Supply Chain via appropriate channels e.g. webforms, telephone, email, MS Teams
  • Responsible for re-packing the goods for redistribution to the customer and ensuring that supplies are appropriately identified for distribution staff to deliver to the customer.
  • Prepare the internal distribution receipt, supporting transition to electronic track and trace system, which will accompany the goods and which the customer will sign when supplies reach their destination.  The post holder will be responsible for ensuring that receipts are filed in a logical sequence for future reference should the document be needed to confirm proof of delivery to the customer.
  • Advise wards and departments as requested of the delivery status of goods and procedures for return of goods.
  • Provide cover for staff absence as required. 
  • Responsibility for implementation of Trust policies which have a relevance to duties and in particular Health and Safety.
  • Any other duties as assigned by the Deputy Director of Procurement

  • To ensure all training is up to date and Health and Safety policies followed

Qualifications

Essential criteria
  • Educated to GCSE level In English and Numeracy
Desirable criteria
  • ECDL or equivalent
  • NVQ customer service or equivalent
  • Basic health & safety certificate
  • Manual handling certificate
