Alder Hey Children’s NHS Foundation Trust is a provider of specialist health care and has a presence in community outreach sites and, in collaboration with other providers, our clinicians help deliver care closer to patients’ homes by holding local clinics at locations from Cumbria to Shropshire, in Wales and the Isle of Man. The Trust also provides inpatient care for children with complex mental health needs at our Sunflower House building newly relocated, and opened on the hospital site.

We are looking to recruit an enthusiastic, suitably qualified Support Secretary to join our team. 

The successful applicant will have established administration and IT skills and a flexible and positive attitude to their work, and display excellent time keeping.

The post-holder will work alongside  Pathway Coordinator's and Support Secretaries to provide a comprehensive administrative and secretarial service to support Sefton CAMHS and our Specific work , as well as cross covering for other teams if required.  The post holder will be required to use initiative and judgement to plan their own workload, ensuring that a high quality administrative service is available for clinical staff. 

The candidate should be able to work to tight deadlines in a similar setting; they should also be suited to working in a very busy and demanding environment. This is a rewarding role for those who enjoy a challenge and can demonstrate excellent organisational and communication skills.

Main duties of the job

  •  To provide a comprehensive clerical and secretarial support to Sefton CAMHS.  The post holder will be expected to work with the minimum of supervision exercising independent judgment and using their own initiative. Confidentiality must be maintained at all times when dealing with patient/staff information. The post holder will be supervised by the Pathway Coordinator on a day-to-day basis. 
  • To provide general administrative and secretarial support to the service
  • Support the day to day organisation of diaries by ensuring that appointments are scheduled in a timely manner using the Trust’s Patient Administration System
  • Attending meetings as required taking and transcribing minutes within locally agreed timescales.
  • To accurately transcribe clinical correspondence including using digital dictation, audio typing and copy typing where appropriate
  • To deal effectively with all incoming and outgoing correspondence, including answering of phones.
  • The post holder will provide a confident and professional service to all patients and their parents/carers, whilst supporting them throughout their pathway of care.

Detailed job description and main responsibilities

Main Duties and Responsibilities:

  • To provide general administrative and secretarial support to the service
  • Support the day to day organisation of the clinicians’ diaries by ensuring that appointments are scheduled in a timely manner using the Trust’s Patient Administration System (Meditech)
  • Attending weekly multi-disciplinary meetings (MDT) and other meetings as required taking and transcribing minutes within locally agreed timescales.
  • Manage prescription requests, confirming patient demographics are recorded correctly and details checked for authenticity, ensuring prescriptions are issued in a timely and effective manner.
  • To accurately transcribe clinical correspondence including using digital dictation, audio typing and copy typing.
  • To deal effectively with all incoming and outgoing correspondence.
  • To work independently and in part of an already established team of administrators.
  • To manage to actions from our daily referral & triage meeting.

                                                                  

Person specification

Qualifications

Essential criteria
  • Good standard of education – minimum of 3 GCSEs (or equivalent) at grade C or above including English Language
  • NVQ Level 3 in Business Administration or equivalent knowledge/experience (or working towards)
  • Word Processing RSA II or equivalent
  • Audio Typing skills 60wpm
Desirable criteria
  • Audio Typing skills 60wpm

Experience

Essential criteria
  • Experience of a secretarial/administrative role providing general provision of secretarial/administrative duties in a challenging and constantly changing environment.
  • Experience of maintaining and setting up databases.
  • Experience in planning and organising meetings and taking minutes.
  • Experience of providing secretarial/administrative support to a team
Desirable criteria
  • Experience of working within an NHS environment.
