Job overview

We are looking for an experienced, confident and values‑driven leader to join our Executive Office as Team Manager.

This is a high‑profile role for someone who can work at pace, thrive in a complex environment, and bring strong management and governance expertise to a critical Trust‑wide function. You will be comfortable operating with autonomy, handling sensitive and confidential matters with integrity, and leading a team that supports the Chief Executive and Executive Directors at the heart of the organisation.

You will play a key role in ensuring the Executive Office operates as a professional, resilient and high‑performing service, enabling effective leadership, robust governance and organisational accountability. This is not a purely administrative role – it is about leadership, standards, assurance and continuity.

You will have significant experience of managing people, supporting senior leaders, and working within governance or assurance‑led environments. You will be organised, calm under pressure, and confident making decisions in complex situations. Most importantly, you will bring integrity, judgement and a commitment to doing things properly, even when the pace is fast and priorities compete.

Main duties of the job

As Team Manager for the Executive Office, you will provide senior operational leadership to the Executive Assistant team and be accountable for the delivery of a high‑quality executive support function across the Trust.

You will lead, manage and develop a team of Executive Assistants, setting clear expectations, managing performance, supporting wellbeing, and building capability and confidence. You will ensure the team is resilient, flexible and able to respond to competing priorities and high‑pressure demands, including during periods of change or absence.

You will establish, embed and maintain robust governance, assurance and business management processes within the Executive Office. This includes developing and maintaining standard operating procedures, templates and consistent ways of working for executive support, diary management, meetings, correspondence and records management.

You will oversee the coordination and quality of support for Board, Committee and Executive meetings, ensuring high standards of administration, accurate record‑keeping, and timely follow‑up of actions. You will act as a point of escalation for complex or sensitive issues, using sound judgement to resolve problems and maintain continuity of service.

Throughout the role, you will model the Trust’s values, demonstrate high standards of professionalism and discretion, and contribute to continuous improvement, efficiency and value for money within the Executive Office.

Detailed job description and main responsibilities

Leadership and People Management

  • Provide visible, authoritative leadership and line management to Executive Assistants and Executive Support staff within the Executive Office.
  • Set clear expectations, manage performance, support wellbeing and ensure regular supervision, appraisal and professional development.
  • Build and sustain a cohesive, resilient and flexible team capable of responding to competing priorities and high‑pressure executive demands.
  • Lead workforce planning, recruitment, induction, retention and succession planning for the Executive Office, identifying risks, skills gaps and development needs.
  • Foster a positive, inclusive and high‑performing team culture aligned with Trust values and behaviours.

Executive Office Governance and Standards

  • Establish, embed and maintain robust governance, assurance and business management processes within the Executive Office.
  • Develop and maintain standard operating procedures, templates and consistent ways of working for executive support, diary management, meetings, correspondence and records management.
  • Ensure consistent application of information governance, confidentiality, data protection and records management standards.
  • Monitor quality, compliance and efficiency of Executive Office processes, driving continuous improvement and addressing areas of risk.

Executive Support and Business Management

  • Oversee allocation and prioritisation of work across the Executive Assistant team to ensure capacity is managed effectively and organisational priorities are met.
  • Act as a point of escalation for complex, sensitive or competing demands, using sound judgement to resolve issues and maintain service continuity.
  • Provide senior executive support to the Chief Executive when required, including during periods of absence, ensuring stability and continuity at the centre of the organisation.
  • Support the Senior Manager to the Executive Office with planning, coordination and delivery of Executive Office priorities and service improvement initiatives.

Board, Committee and Meeting Support

  • Ensure high‑quality administration and coordination of Board, Committee and Executive meetings, including agendas, papers, minutes and action tracking.
  • Provide assurance that meeting administration is accurate, timely and meets governance and regulatory requirements.
  • Support the effective flow of information between the Executive Office, senior leaders and key stakeholders.

Stakeholder Management and Communication

  • Build and maintain effective working relationships with the Chief Executive, Executive Directors, Non‑Executive Directors and senior colleagues.
  • Act as a professional interface between the Executive Office and internal and external stakeholders, handling sensitive matters with discretion and integrity.
  • Communicate clearly and confidently with senior leaders on operational, administrative and governance matters.

Financial and Resource Management

  • Contribute to effective financial management within the Executive Office, supporting workforce and resource planning.
  • Monitor expenditure against agreed budgets and ensure resources are used efficiently and in line with Trust policies.
  • Work with finance colleagues to identify cost pressures, support forecasting and promote value for money.

Professional Accountability and Values

  • Be accountable for own professional practice and ensure compliance with Trust policies, procedures and codes of conduct.
  • Maintain high standards of professionalism, discretion and integrity at all times.
  • Act as a role model for Trust values and behaviours, promoting equality, inclusion, wellbeing and psychological safety within the team.

Qualifications

Essential criteria
  • Educated to degree level or equivalent demonstrable experience.
  • Evidence of ongoing professional development.
Desirable criteria
  • Management or leadership qualification (e.g. ILM or equivalent).

Experience

  • Significant experience of line management and team leadership.
  • Experience of supporting senior leaders or executives in a complex organisation.

Skills

Essential criteria
  • Strong leadership and people management skills.
