Outpatient Coordinator

Job overview

We are looking for an enthusiastic individual to join our Oncology team as an Outpatient Coordinator. You will work with the Administration teams and the Supportive Management team to ensure staffing levels and patients flow through the department.

The post holder will support the Administration Manager in the day to day supervision of the  outpatients teams and will work closely with Service Managers to ensure the quality service.

The post holder will also be responsible for overseeing booking of appointments and procedures, ensuring referrals/requests are dealt with efficiently and targets are met. The post holder will oversee the monitoring and utilisation of the cancer waits ensuring that all necessary slots are filled to meet cancer wait targets.

The post holder should possess the ability to use their initiative, working without direct supervision, organising and taking control of specified duties, escalating where necessary to the Service Manager.

 

Main duties of the job

 Responsible for the supervision of the administrative team, this includes induction of new staff, prioritising workloads and motivating staff to achieve objectives.

 Co-ordinating referrals and bookings according to urgency/pathway including 2WW/urgent/routine appointments.

Revieing clinic utilisation and coordinating patients moving forward to met cancer targets and KPI's

To be responsible and accountable for identifying and communicating potential problems at an early stage, liaising with non-clinical and clinical colleagues at all levels.

  Deal appropriately with enquiries, by telephone and in person, from staff and the general public, seeking advice or referring elsewhere if necessary.

 Identify appropriate training for staff, to facilitate improved performance and personal career development in accordance with Trust policy/procedures.

Coordinate annual leave to ensure adequate staffing levels are maintained at all times, escalating any shortfalls/problems to the  Admin Manager.

  Give advice and support to staff in relation to Freedom of Information, patient confidentiality in accordance with current legislation.

Manage and coordinate patient bookings, following the outpatient standard operating procedures (SOPs). Maintaining the SOPs so they are updated and audited.

Training and Qualifications

Essential criteria
  • GCSE Grade C or above or equivalent standard in English and Maths or similar through vocational training • Evidence of commitment to continued learning or improvement through attendances at courses.
  • Excellent IT and keyboard skills
Desirable criteria
  • Good command of the English language – both written and spoken.

Experience

Essential criteria
  • Proven experience of working within a clerical environment
